IMPORTANT

Δ #1 Plant Budget - To clearly separate plant budgets from job budget new permissions have been introduced (refer below). This are automatically granted to Administrator and Plant Manager, and any other role will require explicit update as required.

Δ #2 Plant Budget Types  - These are now indicated explicitly by a column on Budget Type Maintenance. If the budget type list on Plant Budget appears to be blank please check this.

New Features

Transaction Write-Off

The new screen is available under Billing, and allows write-off of transaction without the creation of an AR invoice.

  • (A) This functionality is accessed from the Billing menu.
  • (B) Specify the Job as it is a required criteria for filtering.
  • (C) Specify any further optional criteria and apply the filter to display the matching un-billed transactions.
  • (D) Individual transaction can be selected by the grid tickbox.
  • (E) The page of transaction can be selected by the grid header tickbox.
  • (F) All filtered transaction across all pages can be selected by the Select All tickbox.
  • (G) Click the Confirm button to initiate the write-off process for the selected transactions i.e. the Invoice Status is set to 'Write Off' and the Invoice Number set to '99999999'

Jobs

  • Job Wizard - An issue where inactive Job Templates were also being displayed is rectified.
  • A check for any related outstanding POs or WOs is now made when finalising a job from either:
    • Job Details - Main tab; ticking Finalised
    • Job Maintenance - Ref & Dates tab; setting Finalised Date

Purchasing

  • Purchase Requisitions -
    • A ctrl param 'Requisition Date Fields' is introduced that enable hiding of the individual dates. The default is show all 3 dates.
    • A PR can now be saved without lines.
  • Purchase Order List - The list displayed to a user can now be limited based on new permissions:
    • 'PO Entered by Me' and 'PO Entered by Others'
    • 'PO Approved by Me' and 'PO Approved by Others'
    • 'PO Own Location' and 'PO Other Locations'
    • 'PO Purchased by Me' and 'PO Purchased by Others'
  • Purchase Order Detail -
    • An issue where AP invoice matched PO lines had their Line Complete checkbox disabled is rectified.
    • Purchase Order - The functionality introduced in this base release that limited the supplier based on the specified location has been refined. A new ctrl param ‘PO Supplier Location Limited’ is introduced to control the location-supplier limitation; the default being 'No'. This will drive the supplier suggestion list behaviour and whether the supplier popup location filter will default. As before, any supplier can be selected by opening the supplier search popup and removing the Location filter.
  • AP Invoice List -
    • A 'Batch Ref' column has been added, and defaults to hidden on APInvoiceList in grid management.
    • An additional filter 'Include Subjobs' is added that will also display AP invoice whose line are on subjobs to the Job filter.
  • AP Invoice -
    • The 'Confirm PO Lines' popup now supports the option of displaying completed lines to provide further context, although these remain non-editable.
    • A change to the AP Invoice number is now updated to the job transaction JobTranReference field.
    • Approval of an AP Invoice in a closed period where the ctrl param 'Check AP Invoice Date is in Batch Period' is Yes AND ctrl param 'AP Invoice Auto System Batch' is Yes; then:
      • The invoice is put into the next open period
      • The Invoice Date is updated to the 1st of the new period and
      • A comment is added to the voucher and AP Invoice regarding the date change.

Work Breakdown

  • Claim Schedule - The screen now supports export of all lines to Excel.

Subcontracts

  • Subcontract List - An issue where Jobs directly linked to the Profit Centre Group were not included when displaying subcontracts is rectified.
  • Work Orders List - An issue where Jobs directly linked to the Profit Centre Group were not included when displaying work orders is rectified.


  • Subcontractor Portal - The 'Claim Date' on the Subcontractor Portal is now disabled and automatically set on Submit. This does not affect the Claim Date on the internal screen.

Plant

  • Plant List - Various tweaks for consistency - Removed Client Reference and LC grid columns
  • Plant Enquiry - The Summary tab is tweak for consistency and the rows removed after Surplus/Deficit for:
    • PO / WO Outstanding
    • Costs + POs
    • POs Receipted Not Invoiced
    • Hours
  • Plant Budget - Various tweaks for consistency including:
    • Removed the 'Client Ref' header field
    • Removed the Job and FC grid columns
    • Removed 'Create PO', 'Add to Schedule' buttons
    • Δ #2 Budget types are now indicated explicitly by a column on Budget Type Maintenance. The defaults are - Original Contract, Approved Variations, Increased costs, Other costs.
    • Δ #1 The equivalent plant budget specific permissions have been added - Edit Plant Budget, Approve Plant Budget, Unapprove Plant Budget

Reports

  • Report Viewer Send - The Report Send popup has had minor enhancements to improve usability.
    • The pickers will now also search by email address,
    • and so the previous email address control is now redundant and removed,
    • and any email displaying in the picker will be included when sending
    • The email inputs now perform a check for the @ character in case and invalid email address is specified.
  • Reports Dashboard - The filters have been tweaked for consistency.
  • Report Popup - The popup has been tweaked to default with the standard description and allow editing of a filter specific description.

Leave Management

  • Leave Type - To improve usability all leave defaults for the type are now specified in the popup, the fallback case being simply defined with a blank profit centre.

General

  • Company - An issue the postal code was not displayed in the 'More ...' address popup is rectified..
  • My Approval - An issue where an error was displayed on export to Excel is rectified.
  • Data Entry - The Save button is now disabled after clicking Save to prevent inadvertent double clicks that could result in duplicated data.
  • Utilities List -
    • A utility wbUtilityChangeARInvoiceStatus is now available to change the AR Invoice Status. If changed to Approved or Sent, then the Batch No is removed. If changed to Entered, then approval data is removed.
    • A utility wbUtilityChangeAPInvoiceBatchDate is now available to update the Batch Date, and  If ctrl param 'Check AP Invoice Date is in Batch Period' is Yes then also updates document dates to 1st of batch period and inserts a comment into each document.
    • An issue with wbChangeInvoiceNumbers not correctly updating JobTransaction references is rectified.

Integration

General

  • Control Parameters - An issue where some Interface type control parameters to be configured were not visible from the web application has been rectified.

Reports

General

  • Settings - A setting 'Report Budgets Footer' is added to support footer text on budget reports.

Revisions

  • wbBatchAPInvoice001 - AP Invoice Batch -
    • Approved By field now provided on this report when the Invoice or credit is Approved.
    • Sub Claim Batch reports now print with Sub Claim batch as the report title instead of AP Credit
    • Running the AP Invoice Batch now correctly ensures the Batch is GL Coded.

  • wbBudgets002 - Variation Request Detailed -
    The text "Description" has its visibility based on the fax field, not whether a description is entered, this has now been fixed. 
    The text “Client Reference” " has its visibility based on the Client Reference field. 
    The text referencing the Exclusiveness of GST now has the Budget Type included instead of just “Variation” as well as the report title. 
    wbBudgets001 and wbBudgets002 have the following change: 
    The "Report Budgets Footer" setting text now displays on the bottom of the report.
  • wbContract011 - Running the AP Invoice Batch now correctly ensures the Batch is GL Coded.
  • wbPurchaseOrder001, wbPurchaseOrder002, wbPurchaseOrder003, wbPurchaseOrder004 -
    • Removed file name , printed by and printed time from the following reports.
  • wbSubcontractClaim001 - Subcontract Claim Schedule - Reasons and Comments are now added as their own section rather than squished on the end of the line on wbSubcontractClaim001 report.
