Subcontract Users
Overview:
Workbench offers the ability to nominate a Subcontract User, giving them the ability to log in and upload documents, make requests, send messages, and submit claims, saving valuable time for your contract administrators and reducing miscommunication.
To ensure your subcontractors can only see what you intend, several setup items need to be addressed:
The subcontractor user must be set up in Users under the subcontractor's Company and be given a login and password.
The user must be given a Subcontractor Portal Licence.
The user must have the Subcontractor Role.
The user must be given an appropriate Site Map that only displays the "Subcontract Portal" and "Work Order Portal" options.
The user's Home tiles must be adjusted/removed in Users → Settings Tab. Failing to do this may give them access to view the Companies and People
Important Note:
Subcontractors who are given access to their subcontract are given the ability to view all work orders, claims, attachments, datasheets, dates, etc. Ensure that your team keeps the subcontract free of items that are meant to be internal only, and that the proper Work Order and Claim procedures are followed.
Screen Guide:
This screen is used to display authorised subcontractor users. People will be displayed here when the setup steps have been completed, giving you a quick reference to who can access Workbench and the selected subcontract. The details on this screen come directly from the person's User profile and can be edited there if needed.
Next Steps:
It is good practice to log in as the new user to ensure that they can see or not see exactly what you intend before sending the subcontractor their login details. You can send their details by resetting their password in Users and make sure the option is ticked to send them the update. This will provide them with a link to your Workbench website as well as their username and password.
