Subcontract Settings

Overview:

This tab is the first tab shown when creating a new subcontract from the Subcontract List screen. Fields that are not greyed out can be edited throughout the lifetime of the subcontract.

  • Subcontract Code takes the Job Number and adds the digits specified in the Control Parameter 'SubContract Code Digits'.

  • Job is the Job that this subcontract sits under.

  • Description is custom text to describe the nature of the subcontract.

  • Details are optional and useful for adding additional description of the subcontract.

  • Subcontractor is the Company that this subcontract is for. Note that the "Subcontractor" checkbox must be ticked for a company you want to use in this module.

  • Physical Address defaults from the Subcontractor Company used.

  • Postal Address defaults from the Subcontractor Company used.

  • Subcontractor Phone defaults from the Subcontractor Company used.

  • Subcontractor Fax defaults from the Subcontractor Company used.

  • Subcontractor Contact is the nominated contact from the Subcontractor Company. The contact must be added to the People list under the same company as this subcontract.

  • Subcontractor Contact Email defaults to the one in the Subcontractor Contact profile, but can be manually changed.

  • Job Manager comes from the Job Maintenance of the Job.

  • Subcontract Administrator is an optional field to nominate another User as the administrator of this specific subcontract. This is useful for companies that employ contract administrators that manage subcontracts of various Jobs.

  • Status is the current status of the subcontract. There are several default statuses and more can be added in Statuses. This field serves as a simple label and does not impact further system data.

  • Brief Confirmed is a legacy checkbox field that was used for confirmation purposes. This can be utilised by your company in whatever way works for you, but it has no extended effects on other data or reports in Workbench.

  • Subcontract Type is a category that this subcontract falls under. These can be modified in Contract Types.

  • Retention Type is the selected retention category that this subcontract is meant to use. This field is important to set at the beginning of the subcontract, as it affects the calculation of new claims. New retention methods can be created by clicking on the blue ellipsis button and selecting "Maintain," or navigating to Retention Codes. If you do not want to hold retentions, an appropriate zero Retention Type must be selected.

  • Direct Payment is a legacy checkbox that is meant to signify that the Subcontractor is paid directly rather than through the Workbench AP module. In the current version of Workbench, this field does not affect any processes.

  • Subcontract Currency is derived from the Subcontractor Company currency.

Make sure the Internal company of the user that is creating the new Subcontract is not flagged as Subcontractor on the Company record, as this will prevent the user from creating subcontracts. If the company of the user is flagged as a Subcontractor, that means this user is possibly an external user and should only be using the Subcontractors Portal.

 

Deleting

You can delete a subcontract if it has not been used. There is a new [Delete] button that only appears in the Subcontract tab when the Subcontract has none of the following linked to it:

  • Works Orders,

  • Claims, Insurance,

  • Payments,

  • Datasheets,

  • Attachments,

  • Bonds

Note that if a Subcontract inherits Insurance from the subcontractor, these can be manually deleted from the Subcontract.

Now that you have set up the basic settings of the subcontract, you may wish to enter Subcontract Dates, then assign Work Orders (Subcontract Schedules) to the subcontract to form the basis for them to claim from.
