Users

Overview:

Users is the screen for managing internal employees and other users of Workbench. This is different from the People screen in that the Users screen shows internal and external persons marked as having a Login, an Employee, or both. Said in another way, Users is used to set up employees who will be used in Timesheets and/or log in to Workbench, and People is used as a directory and for third-party contacts. Users appear on the People screen but not necessarily the other way around.

You can add Users in two ways: clicking + New User and setting them up from scratch, or clicking + From Person List to import an existing person from the People screen.



Screen Guide:

The User List screen by default displays all active users who have a Login, but you can modify the Filter to narrow down the results or to include additional people.

If your database contains many users, you may need to use the Page buttons to move between the pages. The View count of the total is shown in the bottom right corner.

This page includes the ability to Import users from a file. The fields must match exactly for the import to be successful, and you can select between a Standard and Extended set of fields (accessed using the up arrow), the latter of which gives you more Login-based fields to fill out. Remember to download the Template for a premade file with all fields as columns.

Next Steps:

To edit an existing User, click the Surname link to go to Create/Edit User. Click + New User or + From Person List to add a new user or import someone from the People screen.

From the options on the Apply Filter dropdown create Custom Views to display specific fields that provide different lists for different purposes. These views will be available as additional views to the Default View. Common cases are:

  • HR & Payroll: A common use case for Custom Views on Users List is to have a list more appropriate for the Payroll or HR department, which would like to see EBA configuration, employee class, Payroll name, etc.

  • IT System Admin: Another use case is for System Admins who are only interested in the configuration and access to the system-related data, like Site map profile, email address, login codes, etc. Or even have one view with all this data combined, and see it all at a glance without having to drill into each record.
