Overview:

Job Templates are used to facilitate the creation of Jobs in a predefined way. By setting defaults for job fields, they increase consistency and reduce manual entry, allowing for quicker job creation. Jobs can be created without a template or you can copy another job's fields as alternative methods of creation. You can also group your templates based on job level with a corresponding Parent Template.

Plant and Stock Item templates are created only if you use those modules.

Screen Guide:

Initial List

The initial screen displays a list of all existing active templates. You can use the Filter to narrow down the results.

The Template Code field serves as the link to edit or view the contents of that template. To create a new line, click + New Job Template.

Create/Edit Template

A popup window will appear with the following tabs:

  • Template Code is the unique code for this template.

  • Description describes the purpose of the template.

  • Job Level determines at which hierarchy level this template is to be used. If the level is 2 or more, the proceeding section will change to a different view (see next screenshot).

  • Financial Company is the Financial Company that this template can be used for.

  • Inactive will prevent this template from being used if this checkbox is ticked.

  • Job Prefix Options gives the options of Manual, Client AR Account, Client Alpha Code (from the Client Company record).

  • Job Prefix is available when the option is set to Manual. The text entered here will appear at the beginning of the job code.

  • Sample Job displays an example job code range based on the other fields.

  • Start Job Number is the beginning of a range of job code numbers. This is useful for picking up where another system left off.

  • End Job Number is the last number acceptable for the range. It is recommended to leave yourself room for the foreseeable future.

  • Zeros to Append is the number of zeroes to add to the end of the range.

  • Parent Template lets you select from available templates one level higher than the subjob template.

  • Append Options gives the following options: 

    • Append to Parent - numbers entered in the Minimum Maximum Sub Job fields are used to add numbers to the parent job code.

    • Increment Parent - the parent job code will be incremented up for every job created.

    • Add Suffix to Parent - the Suffix field becomes available, allowing alphanumeric characters to be added to the end of the parent job code.

  • Suffix allows alphanumeric characters to  be added to the end of the parent job code.

  • Sub Job Digits displays the number of digits that will be added, and updates based on the Min/Max Sub Job fields.

  • Minimum Sub job is the beginning of a range of sub job code numbers.

  • Maximum Sub Job is the last number acceptable for the range.

The fields on this tab have various possible settings, many which can be set to Template (jobs created with this template will use the field data supplied by the template), Client (data is sourced from the Client Company data), or Parent (sourced from the Parent's Job fields in the case of sub jobs). You can use a combination of these to suit how you would like the template to create jobs. For fields that are not consistent between projects like the Job Manager, you can set it to Template and leave the field blank to force the user creating the job to choose the appropriate manager.

  • Job Manager is the person nominated to be the central manager of the Job. You can set someone as a Job Manager in Users.

  • Account Manager is the person nominated to be the manager of the client account for the Job. You can set someone as an Account Manager in Users or.

  • Profit Centre is the Profit Centre this Job sits under.

  • Price Code allows you to set the Price Code for Input Based Selling. Even if your Job does not use this Billing method, an empty or default code can be used.

  • Job Type is a category that this Job is assigned to. These categories can be used for reporting purposes, and can be maintained in Job Types.

  • Charge Type determines which Charge Type and subsequently the Billing method you would like to use for your Job Sales Invoices. This determines how you will request money from your client.

  • Invoice Type determines which Invoice Types should be used, changing the display of the Job Sales Invoice document that is sent to the client.

  • Cost Activity Group is the Activity Group you want this Job to use. Activities will be restricted to this list for all Job Transactions.

  • Forecast Revenue

  • Claim Schedule uses a specific Claim Schedule as the default for this Template.

  • Job Status allows you to choose from the list of Job Statuses. By default the statuses are Open, Closed, and Invoiced. Note that these statuses are for filtering and coordination, and are different from the Closed and Finalised flags in Job Maintenance.

  • Billing Currency defaults the Currency from the selected Client Account.

  • Stock Location is the Stock Location used for jobs created with this Template.

  • Check Against Budget has three options to select from:

    • No Check - no checks are made against the budget allocation.

    • Warn if no budget - will prompt the user that there is no or insufficient budget for the Job/Work Centre/Activity combination they entered in Purchase Orders.

    • Enforce budget - entry of data in Purchase Orders will be prohibited if there is no budget for the entered line.

      There are independent options in Control Parameters for Timesheet budget restrictions. You can change the parameters independently or in conjunction with this Job setting. 

  • Use GST defaults from the Client Account used and enables the appropriate GST Type to be collected on a Job Invoice.

  • Closed & Finalised Flags are available if you want to create jobs that are already closed or finalised.

  • Billing Address can be set here.

  • Billing Contact can be set here.

  • Site Address can be set here.

  • WIP Code uses WIP Codes to determine the calculation for Generating WIP Accruals.

  • Labour Costing Group allows selection of a Labour Costing Group. These groups change specific Employee Classes to another for this Job and are usually used when you have employees who perform multiple roles and are paid differently for each role. *This field is for backwards compatibility with the Desktop version of Workbench - Labour Costing Groups are not fully available in the Web version and need to be maintained in the Desktop interface.

  • Job Details is a custom text that can optionally be entered to give more information about the project.

  • Job Work Centres are part of the core Work Breakdown structure of Workbench. If you mistakenly create a New Line, simply tick the Bin checkbox. Work Centres can be updated after job creation and throughout the lifetime of the project using Job Maintenance View.

Job Groups are used to categorise jobs in custom ways that aren't already provided for reporting purposes. These are optional and can be updated independently at a later time.

  • Category is the overarching Group Category for this job.

  • Group is the Job Group you wish to apply to this job.

  • Value is an optional free text value given to this categorisation.

  • You can add additional lines using the New Line link, or delete mistaken or incomplete entries by ticking the Bin checkbox.

  • Job Scheduler if selected, the job from this template will be displayed on the Job Scheduler screen.

  • Sync to Upvise determines whether a job from a given template will be synchronized with Upvise or not.

  • EBA Scheme attaches an EBA Scheme to all jobs created with this Template.

  • Upvise Stock Location

  • Labour Costing Group allows selection of a Labour Costing Group.

  • Job Reference is an optional field for custom text.

  • Client Reference is an optional field for custom text.

  • Quote Reference is an optional field for custom text, used for tracking quote numbers given to the client for this Job.

  • DR GL Account gives you the option of specifying a DR GL Account to post to. Otherwise the Job Sales Invoices will default to the Sales Codes used.

  • CR GL Account gives you the option of specifying a CR GL Account to post to. Otherwise the Job Sales Invoices will default to the Sales Codes used.

  • Admin Job is a flag that nominates this job as an administration job. This is used for reporting and filtering.

  • EBA Tags is a comma-delimited list of tags that connect with Job Tags in EBA Profiles.

Next Steps:

Once your templates are created, you can use them during the Job Setup Wizard or New Sub Job process.
