Contract Dates

Overview:

Contract Dates is a place to coordinate the important dates for your contract. All fields are optional but can affect data in reports or other areas in Workbench. This page also contains general notes as well as retention release information.

It is recommended to utilise whichever dates you can for your project, as this screen serves as a reference point for everyone who needs to know information about this contract.

Screen Guide:

 

  • Tender Closed is meant to be used to mark the tender closing date. This can be entered retroactively or you can create contracts during the tendering stage if desired.

  • Contract Awarded is the date your company was awarded the contract.

  • Contract Start should match the date in the contract agreement that the project should begin.

  • Original Practical Completion is the date agreed that your company will finish the project by.

  • Latest Practical Completion is the current projected finish date for the project after any extensions of time.

  • Maintenance Finish is the date that your maintenance/warranty period finishes after the project has been completed, if applicable.

  • Next Release is a field that is visible from Contract Retention Management is also displayed here. It defaults to the initial Latest Practical Completion date and is auto-updated to the Maintenance Finish date after the first retention release is made from Contract Retention Management. Note that if retentions are performed outside of the normal process - for example with manual negative lines - the automatic date functionality will not trigger.

  • Claims Certification Days lists the number of days after submitting a claim that it should be certified by the client.

  • Claim Payment Days lists the number of days after submitting a claim that it should be paid by the client.

  • Notes are available for free-form text entry for you to record anything you need yourself or your team to remember about the project.

  • User Dates are miscellaneous dates with free-text labels that can be added using + New User Date. You can add as many of these as needed throughout the life of the contract.

  • Retentions are added when held retentions are claimed from the client using Contract Retention Management. Relentions cannot be released here, but rather track previous releases for this contract.
