Contract Work Centres

Overview:

Contract Work Centres offers a holistic way to manage all contained Job Work Centre details. The data here is shared with data in the Job Maintenance Work Centres tab, and adds Production Measure fields to the grid. The benefit of this screen is that you can manage all Job Work Centres inside the Contract, whereas Job Maintenance only displays one Job at a time.

Screen Guide:

 

  • Job is the project that you want to adjust. All Sub Jobs of the main Contract Job will be listed here.

  • Work Centre is the existing selection of global Work Centres. When you click on the line, a blue ellipsis button will appear allowing you to search or maintain the global list, in turn allowing you make additional global Work Centres (so long as you have the appropriate permissions to do so).

  • Description will default to the global Work Centres description, but this can be changed for this specific project. Remember, the Work Centre code is the identifier, not the description, so you can keep the global description generic and adjust it for each of your unique projects.

  • Balance Of Budget toggles between the following three choices, and affects how the balance of budget in the Forecast is calculated:

    • No prevents any calculation being done for this Work Centre.

    • By Work Centre will calculate the balance of budget at the Work Centre level, ignoring what Cost Categories or activities were used in transactions.

    • By Cost Category will calculate the balance of budget at Cost Category level, ignoring what activities were used in transactions. This is the only type compatible with Resource Forecasting within a Contract Forecast.

    • By Activity will calculate the balance of budget at the lowest level - activities.

  • Closed is a checkbox that, when ticked, marks the Work Centre as no longer usable for purchasing or timesheets. This will prevent future transactions from being recorded using this Work Centre.

  • Complete is another checkbox meant to signify that the piece of work that this Work Centre represents has been finished, and there are to be no more changes to be made.

  • Start Date nominates a start date for this specific Work Centre. This allows time phasing of the different stages or areas of work for this project.

  • End Date nominates a finish date for this specific Work Centre. 

  • Unit is the unit of measurement designated for this Work Centre's Production Measure. This field is free text.

  • Budget Measure is the budgeted quantity for use with the Production Measure feature.

  • Actual Measure is the current recorded measurement of the selected Work Centre. 

  • % Complete calculates the completed percentage of actual versus budget measures.

  • The Bin icon indicates the column for deleting lines from this screen. Tick the checkbox for each Work Centre you wish to delete, then click save.

Additional Work Centres may be added by clicking New Line at the bottom of the grid and entering data in each field.

Once you have finished modifying your Contract's Work Centres, you can create your Budgets and begin to record time transactions or make Purchase Orders.
