New Features

Purchase Order Workflow Schema

Purchase Orders approvals have been upgraded to include Workflow Schemas in addition to the base Approval model. This is in the same pattern as that for AP Vouchers. Some key points regarding this feature are listed.


•  The Purchase Order screen may now use workflow approval displaying the elements as above.

•  The workflow approval option is enabled by specifying 'Workflow' for the control parameter 'PO Approval Process'.

•  Define appropriate workflow schema for Document Type of ‘Purchase Order’, there is no default workflow.

•  PO workflow schemas match on the Supplier Finco, PO first line Profit Centre or PO first line Job.

•  Workflow schema functions remain as is, the pertinent being ‘Job Manager’ and ‘Job Account Manager'.

•  The workflow pattern is as that for AP Vouchers i.e.no technical review; with selectable reviewers & approvers.

•  Users with ‘Purchase Order Admin Review/Approval’ permission may intervene in the approval process and require ‘PO Approvers Limit’ setting that mandates approval limits.

•  The setting 'Purchase Order Workflow Email Enabled' defines email notification by the workflow at global or person level.

Bulk Purchase Order Completion

A new feature is introduced on the existing PO List screen for users with 'Complete Purchase Orders' permission.

A.  When a Job is finalised it is recommended that the associated purchase Orders are completed. You can filter POs by Job.
B.  If you have the 'Complete Purchase Orders' permission then you can double click the Completed column (one click to edit the line, one click to tick Complete) for POs to be completed.
C.  Once you've 'Completed' the POs as required then click Save.

The 'Complete' action sets all outstanding values to zero and indicates the Complete indicator for the PO and its lines.


Feature Revisions

Purchases

  • AP Voucher -
    • Rectified an issue where PO lines were at times inappropriately completed when using a receipting process (Inwards Goods) with a default of 'Receipted Not Invoiced'.
    • Rectified correct handling of a 'Standing PO' i.e.the quantity and value remain at the original PO quantity and value, and Completed is not ticked . They were previously being completed as per standard POs.
  • AP Invoice - A 'Send Back' button is now available to any user to clear the assigned Reviewer and Approver if required, to assign afresh.

Contracts

  • Quote - A 'Related' tab on the Quote popup now displays any attachments made to the Job corresponding to this quote.
  • Forecast - The Forecast is now non-editable / read-only if the Forecast Closed flag is ticked for the respective period.
  • Budget - Resolved an issue where the budget lines periods in non-periodised budget were not being updated with the header.

Jobs

  • Job Details - A 'Related' tab on the Job Details popup now displays any attachments made to the Quote corresponding to this job.
  • Job Enquiry -
    • An issue printing from the Details tab is resolved.
    • A revenue discrepancy between Job Enquiry summary and Job Financials is resolved.

Work Breakdown

  • Profit Centre Group - An explicit 'Enquire' indicator is now available for each Profit Centre in a group. Ticking 'Enquire' implies that a user  with this group is able to enquire about jobs in the related Profit Centre in the Job List, Job Financials List and reports. Conversely, if unticked, the user would only be able to capture data against these jobs, such as logging their time. The default for existing Profit Centre Groups is to have enquire enabled for all profit centres to retain existing behaviour.

Billing

  • Job Invoice - Rectifies the issue when saving a Claim-Based invoice where the retention line value has been zeroed.
  • Sub Job Billing - A display issue where a sub job was not listed when all transactions for it were written-off is resolved. You are now able to drill into the sub job and amend the transactions states (Invoice / Defer / Write-off).

Subcontracts

  • Work Order - The standard behaviour disables editing of any WO line that has been claimed even when the WO is Unapproved. A permission 'Edit claimed WO line' now allows this. Changes will not recalculate past sub-claims. Grant this with caution as the WO line value is the baseline for claims going forward while past claims would have been against the previous WO line value. This permission IS NOT granted to any role by default.
  • Subcontract List - This list is now available in Grid Management.
  • Subcontract - A 'View All' link is available on the Summary tab to open a list of all related Work Orders irrespective of Type. The 'View' links below continue to open a Type filtered list of WOs.

  • Subcontract Claim -
    • Subcontract Claims using a workflow approval process now have an 'Unapprove' option. Grant the ‘Unapprove Subcontract Claim’ permission to users as required. This unapprove permission applies to subcontract claims using standard approvals also.
    • The Attachments tab will now display after saving a new subclaim, and the user no longer needs to reopen the subclaim popup to add the files.
    • Resolved an issue where the GST could not be overridden after it was set to zero.
    • An issue where the display behaved incorrectly when all 'Qty' fields were hidden on the 'Sub Contract Claim' grid is rectified.

Plant

  • Plant - A 'Job Status' field added to Plant - Details tab
  • Plant List - The 'Job Status' field is available as a filter.

Reporting

  • Print Options - The list of reports presented for Print options will now display the Custom Title if defined, otherwise the standard Report Title will be displayed as per usual.

Administration

  • User - Ticking 'Inactive' will now automatically set the 'End Date' for the user, and conversely clearing 'Inactive' will clear the 'End Date'.
  • Utilities List - An issue where an error was displayed when calling a utility with no parameters is resolved. This is used by some on-premise installations to run a custom process.
  • Utility:wbChangeAPInvoiceBatchDate - This utility now supports the ‘Sub Claim’ batch type.

Report Revisions

  • wbAPInvoiceSchedule001 - AP Invoice Schedule - Allow report to include APInvoice if no voucher exists.
  • wbBatchPayroll001, wbBatchPayroll002, wbBatchPayroll003 - Payroll Batch Reports - Time sheet Weekending dates and Time sheet Groups information added to Payroll Batch reports.
  • wbJobXXX, wbJobSummaryXXX, wbJobTransactionXXX - All Job and Job Transaction Reports - Updated to cater for the new Profit Centre Group 'Enquire' indicator.
  • wbJobEnquirySummary001 - Job Summary - Resolved parameter error.
  • wbSubcontractTransactions001 - Subcontract Claims - Report now sorted by Claim Number.
  • wbTime002 .. wbTime009 - Time Reports - Removed 'Is Employee' from where condition in Time reports and added it as a predicate option to all Time Reports. By default, all time transactions will be reported on in the given periods, regardless of whether the person is now an employee or not. Use the 'Is Employee' condition to filter out people that are no longer employees.
