Job Transactions Reallocation

Overview:

This feature is based on the MDE Job Transaction Transfer Enhanced form and provides for filtering and selecting a job transaction to reallocate. The transaction is reversed (a negative amount is inserted against the original transaction) and a new adjustment is created as specified. 

Note: this feature is not to be confused with the Job Transactions Transfer which updates transactions directly instead of creating reversals.

Since this functionality reallocates job costs specified in the local currency, foreign currency is not relevant. There is no restriction on invoiced transactions.

Screen Guide:

A.  The Job Transaction Reallocation is under Administration -> Utilities and lists all open Adjustment Batches in the current period.
B.  Create a new Adjustment batch using + New Batch if an open one does not already exist for the period you want to make the adjustment in.
C.  Click the Batch No link to open the Job Transaction Reallocation screen.
D.  Use the filters to narrow down the display of job transactions in the grid to find the ones you want to reallocate.
E.  Click the [+] on the transaction line to expand the subgrid and reallocate costs.
F.  Click New Line to create a reallocation.
G.  In the above example we are reallocating $300, a partial amount of the original $675 from Job 4003 to Job 4172 with a different Work Centre and Activity Code. Retail is calculated as a pro-rata of the original retail amount based on the reallocated cost. You can change the Description, Reference, etc. of the adjusted line. You can also split an adjustment into multiple lines if needed.
H.  When done, click Save. If our reallocation is a partial amount, the system will prompt us with a warning to ensure this is purposeful.
I.  Confirming the reallocation will refresh our subgrid.
J.  The subgrid now includes auto-generated transactions:

1. The user specified reallocation transaction
2. The auto reversal transaction of the original transaction.
3. The auto balance line where the reallocation is a partial amount

K.  If you need to edit the reallocation, it is recommended to mark the auto-generated transaction for deletion, and these will recalculate and re-generate once saved.
L.  All transaction reallocations in this batch are visible from the Batch tab.
M. Clicking the link icon on a line will display that reallocation in the Reallocate tab for editing.

Note that the subgrid transactions in the Reallocate tab are non-editable if the transaction was reallocated in another batch.

Next Steps:

Adjustment batches should be exported in Export Control to the financial system, especially when there are changes in GL coding.
