Write Off Transactions

Overview:

The ability to write off transactions is useful for Input Based jobs where you want to pre-emptively write off transactions before reaching the invoicing stage. This makes the invoicing process easier to manage in the case of large transaction volumes with several lines that will not be billed, or if there are transactions left over once the job is finished that need to be cleared for reporting purposes. Note that you can still write off transactions during the normal billing process, but if you do not intend to create another invoice, this screen must be used to write off transactions.

Screen Guide:

A Job must be selected before the screen will display transactions. You can adjust the filter to broaden or narrow down the display of transactions. By default, the filter is set to only show Time transactions.

The Cost and Retail figures are determined by several factors including the Type and Price Code applied to the Job. The Quantity and Retail can be adjusted during the billing process if they are incorrect, while retroactive changes to price codes must involve the wbRepriceTransactions Utility.

To write off a transaction, tick the first column's checkbox of each transaction that you want to write off, then click the Confirm Write Off button. A Select All checkbox is available at the bottom for ease of use. Once you click the button, the following message will appear for confirmation:

If accepted, the process will run and the following confirmation will appear when complete:

The write-off transaction recorded in the WriteOffDate field in the Scaffold which is only visible to the System Administrator.

Next Steps:

When you are ready to do your input-based billing, the transactions written off here will appear as written off. If the job has already finished, reports will reflect the written off status of the transactions.
