Locations

Overview:

Locations are used for the following purposes:

  • The source of default document numbering such as Job Sales Invoices and Purchase Order numbers when creating various records in Workbench.

  • The physical locations of groups of Employees.

  • The physical locations of groups of Companies.

  • To hold the Letterhead/Logo to be printed on documents (such as Purchase Orders and Job Sales Invoices) for that Location.

  • A Location is attached to a Profit Centre, and a Profit Centre is attached to a Person. The default numbering is therefore the numbering from the Location of the Profit Centre of the logged in User.

Most implementations will only require a single Location to be used, but you can create as many as are needed.

Initial Screen

You can see basic details of existing Locations here. Use the Code field to see the details of an existing Location or + New Location to create a new one.

Location Details

  • Code must be unique for each Location.

  • Description should accurately describe the Location so that it can be selected easily.

  • Inactive marks this Location as unusable in future. Existing records should be updated.

  • Batch Location Prefix allows you to nominate a prefix for each Location that appears at the beginning of each batch.

  • Timezone allows you to select from a global list of time zones for this Location.

  • Location Manager is the User nominated as manager for this Location.

  • Address is the appropriate Location address.

  • Company links to an existing internal Company.

  • GST Reg. is the tax number applicable for this location/company combination.

Location Web Document (Letterhead)

This tab allows you to define the contents of the letterhead for this Location. The letterhead is used in various reports such as Purchase Orders sent to suppliers and Job Sales Invoices sent to customers.

  • Web Address turns your logo into a hyperlink to the specified website address. Your recipient can click on the logo in a PDF to navigate them to your website.

  • Logo Type changes the expected Logo image file type between .jpeg and .png files. Which one you have may depend on the software or the graphic artist used.

  • Use Choose File to select the Logo. After selecting, the image will be rendered in the square above.
