Job Manager Approval

Overview:

Job Manager Approval (Daily Approval) is designed to be a solution for companies who have employees that move from job to job within a week or even day, and those jobs are controlled by different Job Managers. Because one employee can only belong to one Timesheet Group, and only one approver can approve a week's timesheet, Daily Approval gives each Job Manager the ability to see and check employee's time on a daily basis. The final approver at the end of the week will see the check on each line of their employees' timesheets, giving them confidence that the allocation is correct, even if it isn't a job under their control.

Daysheets are another alternative, giving the supervisor of each Job the ability to enter timesheets on behalf of their crew for the day. This removes the responsibility of entry from the employee and places it on the supervisor, whereas Daily Approval still requires employees to enter time themselves.

To see an employee's time entry for the day, they must enter their time against a Job that you are the Job Manager of or Account Manager of.

Users with the permission ‘Job Manager Approval Allow Edit and Delete’, can edit entries from here rather than having to request an Administrator or each employee that entered a Timesheet to edit or delete a line before approving.

Screen Guide:

 

  • The Job Manager defaults to the logged in user and serves as the filter for which jobs to display below.

  • Timesheet Day or Week Ending Date is the targeted date for you to check. The Day of the week or the Week Ending day is displayed below for confirmation.

  • The Filters are open by default, showing all time entries for the Job Manager and Day selected. You can narrow down the displayed entries by person or a specific part of the work breakdown structure.

  • Job Code is the Job that the employee has worked on.

  • Activity is the Activity Code representing the type of work done, leave taken, or disbursement earned.

  • Work Centre is one of the Job's available areas of work. Only the Work Centres that have been assigned to the Job will be visible.

  • Type displays the type of timesheet line resulting from the Activity Code selected.

  • Description defaults to the employee's full name

  • (Time) Code is a cost modifier and is usually required if visible, depending on how the activity was set up. This is commonly used for Normal Time, Double Time, Allowances, etc.

  • Start, End, Break are optional and are hidden by default on Grid Management. They can be edited if the Job Manager has the right permissions

  • Qty is the quantity of hours or allowances entered by the employee.

  • Comments displays any comments left by the employee when entering their time. You can see the full entry by clicking on the blue pencil, or hovering your mouse over the text.

  • Checked is the column that you tick for each line after reviewing the entry. If you discover an error with an entry, let the employee, supervisor, or an administrator know before ticking the box.

  • Bin is enabled for thos Job Managers/Account Managers with the right permissions. This allows a user to delete an entry that is not required anymore.

  • Save is required to be clicked before navigating away from the page if any changes were made. You must save after ticking the lines or the ticks will disappear.



Next Steps:

As long as your company has a process in place so that you know when employees are meant to finish entering their timesheets, you may only have to do this process once a week or once a day. If you check a day and an employee subsequently enters new lines for that day, you can go back to that day to check their time.
