Standard Outputs

Overview:

Standard Outputs allows you to automatically generate Job Outputs defined on a Job so they can be billed, instead of having to enter each Job Output manually on Job Output entry screen.

Before entering Standard Outputs, you must have already created an approved Output Schedules and attached them to the appropriate Jobs in Job Maintenance.

On the Standard Outputs tab in Job Maintenance, set up the required Standard Outputs for this Job based on the Schedules available. The Rate on each Output Code will default from the Schedule, but can be overridden and the Special Rate checkbox will be automatically ticked.

To generate outputs, simply go to Outputs screen and use the Generate button with the appropriate filters selected.

Screen Guide:

Click New Line to create a blank line.

  • Schedule allows you to select from all Output Schedules attached to the job. Jobs can have multiple schedules attached to them.

  • Output is the specific Output from the schedule that you are recording.

  • Unit is the unit of measurement from the schedule output.

  • Rate is the sell rate determined by the schedule output.

  • Quantity is the number of outputs you want to record for this line.

  • Amount calculates the product of the Rate and Quantity fields.

  • Description is a space to record any other information about the output.

  • Special Rate is automatically ticked when the default rate is changed. If checked, the rate on that line will not get updated from the schedule itself, otherwise it will. This allows you to apply special rates for specific jobs and clients, if required.

  • Audit popup screen: when a new Standard Output is generated or the Quantity in an existing one is changed, a record to the Audit table is added.

  • The Bin icon can be ticked to remove accidentally entered lines when the Save button is clicked.

 

Generate Output Process

On Job Outputs use the Generate Job Outputs button to create the outputs defined in Standard Outputs in Job Maintenance.

A popup screen comes up where filters can be used to determine the Outputs to be created. Once created a green confirmation message displays: Job Outputs Generated. And Outputs will display in the list.

A warning message “Warning: Existing Job Outputs exists for this Period and Schedule“ will appear to inform the user when outputs have already been generated for the same Schedule and Period. This is only a warning as the user may actually want to generate more outputs for the same Period and Schedule.

After all desired output lines have been generated, Save the entries to commit them to Job Outputs. The following message will appear when this is successful:

 

Next Steps:

Saved outputs can be eventually billed to the client using Output Based billing.
