Maintenance

Overview:

Maintenance is used to schedule and manage the inspection and repair of Assets. You can create Punch Items and Jobs, assigning them to the appropriate staff to action. Maintenance is separate from Projects and do not facilitate timesheets. Note that the Assets used in this Maintenance application are not the same as the Assets application.

Screen Guide:

Maintenance has a convenient setup checklist located in the Dashboard menu item under the Setup Tab. You can click on each of the steps to navigate to the appropriate area. Each step will be marked as DONE when entries have been made there.

Forms are the data collection points for inspections that are performed as part of maintenance agreements.

Create additional forms by using the + button. You can assign a form to an Asset Group.

 

Sites are the locations where Assets are assigned. You can have multiple assets at one site, and when Inspections are done, they all must have the corresponding Form completed to finish the inspection.

To create a new Site, click the + button and fill in the details. This is where you can assign a default user for the inspections as well as linking it to a Project.

Once a Site is set up, you can add recurring inspections, repair jobs, assets, etc. using the + button.

Assets must belong to an Asset Group, and the Group shares one inspection Form. Use the + button to add a new Asset or Group.

Click on a Group to see its Asset list and continue to delve into the desired Asset for more information.

Inspections can be scheduled at the desired interval here for a specified list of Assets. Create new schedules with the + button.

Use the Assets to Inspect tab to quickly add to the list of Assets to Inspect.

Once the Inspection is scheduled, clicking on the Inspection and selecting Start Inspection will trigger the process. Click on each Asset and fill out the assigned inspection Form. Once finished, Submit the inspection for approval.
