Email Notification Settings

Overview:

Most email notifications out of Workbench can be configured using Settings. By default, all notifications are enabled.

To find all Settings related to email notifications, search for Description like email, and all the relevant settings will be displayed.

Each setting for email notifications is self-explanatory, explaining what each one does in the Details column.

Most email notification settings can be:

Enabled globally, and disabled for specific users

[document name] Workflow Email Enabled

These are all enabled by default, and are used if the approval for the specific Document is Workflow. Approvals method is configured in Control Parameters
Emails are sent to every person involved in the workflow and the person that raised the document to advised it has been approved.

  • If not everyone wants to receive email notifications, the Global flag can be unticked, and only enabled for specific users.

  • If only a few users don’t want to receive email notifications, this can be enabled globally, AND the specific users can be added to the Peron list with its record unticked.

My Approval Required Email

Enabled by default. Will send a list of documents to review/approve. It is the equivalent of My Approvals list.

  • If users don’t want to be spammed with approval emails, they can use My Approvals List within the application.

  • Emails are sent daily in the morning 8am NZT.

If unsure of what emails have been sent, you can always check the Emails Status List screen where all emails sent by Workbench STMP server are recorded.

After making any changes, be sure to clear the Application Cache to ensure the changes take effect.
