SMS from Upvise

Getting Started:

Depending on the functions you are using within Upvise, there are Standard SMS template settings available to pre-define the SMS you’d like to send. Defaults can currently be set on Jobs SMS and Resource Scheduler SMS

Job SMS Defaults can be set in the Workbench Central Settings application.

 

 

This will allow you to select from a series of Job Fields and Job custom fields that will auto-populate when sending the SMS to your staff.

These defaults apply to BULK job SMS defaults as well as the individual Jobs SMS defaults.

Resource Scheduler SMS defaults are available to administrators via the Resources Scheduler application:

 

 

This will allow you to select from a series of Scheduler Event fields that will auto-populate when sending the SMS to your staff from the resource scheduler.

 

 

Sending SMS from Jobs

SMS can be sent in bulk via the Job Calendar or via individual Jobs to inform or remind people of their schedule, important safety or weather updates or general company information.

  1. In the Job Calendar in Upvise, you can SMS Job Owners of their schedule via the SMS icon in the Job Calendar view:

 

 

  1. You can use the default SMS that you set up earlier or edit this before sending.

  2. Click “OK” to send the SMS.

  3. You will get a notification stating that the SMS is successfully sent. If the SMS failed to send due to missing phone number, you will be advised also:

  4. On individual jobs, you can send SMS by clicking on “Send SMS” button, see below:

 

 

Sending SMS from Resources Scheduler

You can notify employees of their schedule via the Resource Scheduler. To do this you will need to apply the following filters to ensure the SMS’s for the correct date period are being sent.

  1. Change the view to “Employee” using the filter in the top left view

 

 

 

  1. Click on “List” and select “show items- with Events ONLY”

  2. Click “Filter Employee List”. the schedule will change to only show employees with events scheduled.

  3. Click on “Search”, and apply the date range in which you’d like to send the SMS

  4. Click “Search” to apply the filter

  5. Click on the ellipsis, and “Notify Users”

  6. Enter any additional text to add to the SMS

  7. Click “Send Now” to send the SMS

  8. You will receive a notification confirming the number of SMS sent. SMS can only be sent to contacts with a mobile number

     

Sending SMS from Contacts

 You can notify employees of important safety updates or events via the contact list in Upvise.

  1. Navigate to your contact list

  2. Select the Contact you’d like to send an SMS notification to:

  3. Click on the “Mail” symbol, send SMS

  4. Enter the contents of the SMS, then click “Send Now”

  5. You will receive confirmation that the SMS has been sent:

 

Viewing SMS History

  1. You can see a history of SMS notifications recorded as a note against the Employee contact record in upvise.

 

  1. You will have visibility of whether the SMS has been Successfully Sent or whether it Failed to send:

  1. In the “NOTES” application, you can view ALL SMS for all employees.

  2. Navigate to Notes, click “Folders” and you will see the SMS categorised into “SMS Failed” and “SMS Successful”

  3. Click on a folder to see a list of SMS
