Upvise

Upvise is releasing updates to enhance performance and security

Before 1st May 2024...

  • On-premise clients will be required to upgrade to Workbench version 4.6.25 or later. Clients hosted in AWS will be upgraded automatically.

  • Download latest Upvise mobile app v7.0 (iphone) or v7.0.1 (android)

  • Bookmark the new Upvise url: https://s3.upvise.com

  • Re-generate Public Form URLs and PowerBI/Sharperlight export URLs

 

New Features

Lists

  • Company tabs visibility:
    We have added a new setting to control which tabs to display in a Company, and this can be set Globally or by Person. Setting name 'Company Tabs'

Feature Revisions

Jobs

  • New Job Wizard - support extension columns:
    The Job Wizard that assists users in creating new Jobs now supports populating Extension Columns and it validates that mandatory extension columns are populated.

  • Job Budgets:

    • Line Ref was not being saved for a Revenue line in an At Revenue Cost Element budget. This has been rectified.

    • The description for BOM lines was truncated to 50 characters in the Budget screen, however, the BOM description allows up to 100 characters. We have increased the BOM line description in the Budget screen to allow 100 characters.

Management Reports

  • Contract reports:
    Report Project Trust Accounts Eligible Costs report was installed twice by mistake and this has been rectified.

Purchasing

  • Service Logs at Purchase Order line level:
    We have applied changes accross different areas that link service logs to PO. There are scenarios where a bulk purchase is done by creating a PO, but there is the need to link each PO line to different Service Logs. An example is purchasing tyres in bulk from one supplier but the tyres are particular to a specific plant service log.
    The changes are as per below:

    • Purchase Order

      1. New Log No. in each PO line, can be managed from Grid Management with grid ‘Purchase Order Detail’.

      2. Log No is optional. Valid Logs must be same as header job or its subjob

      3. Service Log at header level in the PO has been removed.

      4. For existing POs there is a migration script to populate the log No on each PO line if there is a Log No at PO header level.

    • Log (Service Log and Plant Maintenance Log)

      1. When creating a PO the Service Log is set at PO line level.

      2. Purchases tab now lists all POs linking on PO line level.

      3. Completion tab sums POs linking on PO line level.

    • AP Vouchers, AP Invoice, Inwards Goods
      All now read the Service LogNo from the PO lines.

    • Upvise

      1. The import of Logs and POs from Upvise has also been updated to link a Service Log with POs at a line level.

Subcontracts

  • GST on Retentions:
    In Subcontract Retention Management screen, we have added visibility of the GST component on Retention Balances, to provide a better picture of what is actually owed to Subcontractors. For our Australian clients that must keep these funds in Trust Accounts, it gives them a more accurate value for when they need to transfer funds to a Retention Trust Account.



  • Subcontract Claims Payment details:
    A new column 'From Account' has been added to the Subcontract Claims Payments. It displays the Cash account’s GL Account from which the payment has been made. Note that bringing this across depends on each financial integration (systems with an API integration will support this). This information is important to manage and audit Project Trust Accounts, allowing users to verify if the payment was made from the correct cash account.
    So far this is supported in the MYOB AccountRight integration, and we will add other systems shortly as part of our Project Trust Accounts solution.


Leave Management

  • Leave not showing on Scheduler:
    When leave requests were created in Bulk, the records for the scheduler events were not being created, hence not displaying in the Schedulers. This has been rectified and the events are created on approval.

Quotes

  • Decimal places in quote cost and selling:
    On a Quote’s Main tab, the Quote Selling and Quote Cost allow a user to enter 4 decimal places, but we have changed it to store it as 2 decimal places.
    Same scenario on a Cost Sheet Total Sell, and Sell Amount on Revenue Cost lines in a Costsheet.

    On the other hand, the Sell rate on the Revenue Cost lines in a Costsheet, was being rounded to 2 decimal places, but we have changed it to 4 decimal places.

  • Import procedure enhancements - wbImportCostSheetScheduleLinesWeb:
    The Markup and Sell Rate columns on cost lines have been added to the Cost Sheet import by Revenue and Cost Element, so that they are available on the quote when it is subsequently edited or viewed.

  • At Cost Element - the system now handles Labour price code scenario with Activity + Time Code.

Service Desk

  • Opening PO link:
    Opening a PO link from a the Purchases tab on a Plant Maintenance Log was opening the PO pop up screen twice. This has been rectified.

  • Opening a Plant Log from Plant Enquiry:
    When navigating to a Plant Maintenance Log from Plant Enquiry the log opened the Service Log List, rather than the Plant Maintenance Log List, and the screen was too small. This has been rectified.

Month End

  • Processes - Contract Claim Accrual and Subcontract Claim Accrual reports enhancements:
    We have improved the claims and subclaims accrual batch reports and added fields that will help understand what each batch includes (wbBatchCCCAccrual001, wbBatchSCCAccrual001):

    • For reversal batches, we now display the original batch that is being reversed in header section.

    • For include a detail section listing the accruals, and the standard GL Analysis at the bottom of the report.

  • Utilities:
    New utility wbUtilityRemoveDuplicateReceipts has been added to remove duplicate receipts.

Administration

  • General Config - Settings:
    Output Based Get Sales, uses a setting to control the $ value rounding and quantities rounding. We have updated the description of the ‘Output Quantity Decimal Places’ Setting to include "WARNING: also rounds Quantities in Get Sales"

  • What is included in each Licence?
    For Licence Administrators who want to understand what is included in each licence, and want to know exactly what licence is required for an indvidual site map item or screen, we have now published a link to a document that includes all of Workbench’s screens and the licence/Permission/Site licence required for it.
    You can access this with the new button on Purchased Licences in the Licence Matrix:



Integration

SAP B1

  • Companies bank accounts sync:
    A supplier/client bank account details are populated from SAP B1 to Workbench’s Company’s Financial tab when the company is synced for the first time. After that, any further changes to the bank account in SAP B1, will only be synced if the new trigger wb_TR_OCRB_Upd_Ins that we have just created is installed on the SAP B1 database. For details on this trigger please get in touch with our Support Consultants.

    Note:
    Only SAP B1 and Xero API integrations provide these details in their API and are synced across
    to Workbench. In the case of the Xero integration, updates sync automatically as part of the standard integration.

Upvise

Upvise plant meter service reading flag:

Upvise import of service readings on plant log completion was not filtering by the plant item, causing issues when multiple readings for different items had been imported on the same day. This has been rectified.

 

Equipment Repair Jobs- Filter by Project

A new feature has been implemented specifically for decentralized companies overseeing plant maintenance and repairs. Users can now filter their repair jobs in the Upvise Job Calendar based on the specific Project to which the equipment is allocated.

  • access this functionality through Jobs > Vehicle > Project

 

New Notification Option- Add Project Name

A new option is available to add the project name to your form email notification where a form is linked to a project.

This is assuming standard notifications are configured on the template and the new setting “Add project name when sending form notification” is enabled. The email recieved my the manager user will include the project name in the email. See example:

Upvise Application Version 7.0.1 - Android

A new application versions is available on Android to address a minor bug with QR code scanning.

SWMS Module- Risk

A small change has been applied to the “risk” setting in custom module Safe Work. This allows the Risk to show clearly on the SWMS form view:

 

SWMS Module- Dashboard View

An update has been applied to the SWMS module to display the SWMS form in a central view:

This allows easy navigation to view your SWMS documents by status when drilling in on each template from the dashboard view. See example:

 

Contacts QR Code generator for use with Attendance Scanner

A new QR code option has been introduced in Upvises contact groups to allow the generation of Employee QR codes for use with the Attendance Scanning function.

The new feature also comes with a custom setting to insert scanning terms and a custom footer, as well as the number of QR codes to be extracted per page in the PDF output:

 

The logo in the QR code is derived from your database logo. See the example of QR code output:

The QR code is then usable with the Attendance scanner, recording attendance data to sync to the workbench Timesheet attendance table.

Daily Diary- Admin Hours Time Calculation

There was an issue when entering the finish time manually in the admin hours form without the duration being used. A modification was made to allow a user to select the same day as the start day and have the time default from the start time.

Form Application Overwrite function- Deprecated in Upvise

As previously communicated, by the end of February, the utilization of custom form module overrides will be deprecated. In preparation for this transition, all standard workbench functions have already undergone modifications, as outlined in our previous release notes.
