Stock Issues

Overview:

Issuing stock to jobs is done through stock issue batches. You can create one or more batches for each year period. Once created, you can add issue transaction lines to the batch.

Screen Guide:

Batch List

Use the + New Batch button to create a new batch. Follow the prompts and ensure the Date is within the desired Period. Clicking the Batch No link will open the Batch Details and underlying transactions.

Create/Edit Batch

The header section displays the batch information, some of which is editable here. You can also click Close Batch to prevent further entries being made and mark it as ready for export.

  • Date is the day of the stock issue.
  • Stock Location is the origin Stock Location where the item is being issued from, reducing the available stock by the Quantity and Total Cost issued.
  • Job Code is the destination Job that the Total Cost will apply to.
  • Stock Item allows you to search for Stock List that are listed as available in the selected Stock Location.
  • Activity defaults to the activity set for the Stock Item, but can be changed.
  • Work Centre defaults to the work centre set for the Stock Item, but can be changed.
  • Unit is the unit of measurement.
  • Unit Cost defaults from the Stock Item's Location cost settings.
  • Quantity is the number of Units you want to issue.
  • Details automatically populate from the Stock Item. These can be long descriptions or specifications.
  • Total Cost is the product of the Unit Cost and Quantity fields. This amount is charged to the Job Code selected.

You can use the Attachments button to attach any additional information to the batch, or Import lines from an excel or .csv file. + New Line creates additional lines for issues. Remember to Save all changes.

Next Steps:

Once you have finished issuing stock, the batch can be closed and exported in Export Control.
