My Datasheets

Overview:

My Datasheets gives you an overview of your (the logged in user's) Datasheets, providing a quick way to access in progress or completed datasheets, as well as a path to make new ones.

Screen Guide:

Initial List

Use the Filter to narrow down the display if you are searching for a specific datasheet.

  • Template is the Template used for this datasheet. This field also serves as a link to Edit/View the datasheet's details.
  • Key Table is the area of Workbench that the datasheet centers on.
  • Subject is the topic of the datasheet and is sometimes automatically generated text.
  • Date is the given date of the datasheet.
  • Rating shows the result of the weighted answers if the feature is being used.
  • Complete displays a check if the datasheet has previously been completed.

Create additional datasheets easily by clicking + New Datasheet.

Create/Edit Datasheet

When creating a new Datasheet, this window will appear and the data becomes the header information for the datasheet.

  • Assignee defaults to the logged in user, and can be reassigned later if needed.
  • Template lets you pick from existing Templates, providing the lines of questions to answer.
  • Date is the date that this datasheet will be listed under.
  • Subject can generate automatically based on the Template but can be changed to any appropriate title for the datasheet.
  • Comments is a space for additional details about the datasheet as necessary.
  • Depending on which Template is selected, another field will appear relevant to the Key Table the template was built for. This Job/Plant/Company/etc. will be linked to this datasheet.

Once you click Create, the new datasheet will be available to fill out. The look and data of the datasheet is determined by the Template used. The following is a test example for a Company-based template:

The header section is filled out based on the information given during the previous step.

The body will display based on how the Template was designed.

You can Print the details of the datasheet to make a PDF or hard copy if needed (a digital copy will always be available here).

Attachments can be added such as photos, emails, or documents.

The Other button is shortcut to create another Datasheet using the same template and reference. It also shows related datasheets to quickly find previously created forms.

In the case of accidental creation, you can Delete this datasheet.

Once you've finished entering data, remember to Compl. (Complete) the datasheet. It can be Uncompl. (Uncompleted) to make changes if needed.

Remember to Save after making any changes.

Next Steps:

Once saved, the datasheet is attached to the referenced Job/Plant/Company/etc. and can be viewed by others in the respective Datasheet tab. It will also appear in the global Datasheets List.
