Subcontract Claims

Overview:

This screen offers the ability to view claims from all jobs and subcontracts in one place with all important data visible, making it a useful overview for administrators or accounts teams. It also introduces a new claim entry method, allowing a claim to be created with limited data available and able to be completed by the contract team. It can be accessed from the Site Map menu under Subcontracts, and can be saved to your Home screen using the filter option (clicking the arrow next to Apply Filter after selecting an appropriate set of filter options).

Screen Guide:

A. The Subcontract Claims List is accessed from the Subcontract section of the menu, and provides visibility across ALL subcontractors and subcontracts.
B. The columns displayed are typical for subcontracts claims with fields important in the processing context, namely:

  • Claim Date, Received Date - Both of these dates are displayed to give full context of the subcontract timeline.

  • Status - This displays as New, Entered, To Review, To Approve, Approved, Batched, or Updated; as applicable depending on your approval process. See Subcontract Claims Tab for more information.

  • Assigned - Displays the assigned person when the claim is pending review or approval as applicable.

  • Due - This displays the next action due, as either blank or Certification or Payment (if Certification Days and Payment Days are set up in Subcontract Dates)

  • Due Icon:

    • Red - Due today or overdue

    • Orange - Due within 7 days

    • Yellow - Due within 14 days

    • Blank - Due beyond 14 days

C. The standard subcontract filters are available, with the addition of Job Manager, Subcontract Administrator, Status, Assigned, and Date Due to accommodate this processing view.
D. Apply Filter also supports Excel Exports and the Create Tile option to enable Home shortcuts.
E. Using the + New Claim Attachment you can log sub claims with potentially limited data that you may have. This may be useful for AP processing without in depth knowledge of the project, allowing you to more easily navigate the job/sub job/subcontract structure.
F. Only these core fields are required to log the initial claim. Note - the Subcontract search bar is enhanced to search by Job Site Address as the subcontract may not be stated on the correspondence:

G. Once the core fields from F are specified, click New Claim and will create and open the new claim.
H. All of the relevant attachments can be attached to the claim at this point, especially the claim itself so that the contracts team can continue with data entry.
I. Once complete, simply Close the popup. Selecting an existing sub-claim 'No' from the list displays the Subcontract Claims Tab popup, and clicking the 'Subcontract' link opens the Subcontract Summary tab.

 

Upon approval of a subcontract claim, a notification email will be sent to the individuals specified in the 'Email on SubClaim Approval' settings. The recipients of this email are limited to the Claim Submitter, Job Manager, Job Account Manager, and Subcontract Administrator.

 

Next Steps:

From this screen you can check the status of the filtered subcontract claims and action them by clicking the No link, taking you to the Subcontract Claims Tab.

Create new claims using + New Claim Attachment.
