New Features

Jobs

Standard Outputs:

You can now setup Standard Outputs on Jobs, for those Job Outputs that need to be generated regularly, i.e. every month.
Once Standard Outputs have been configured on Job Maintenance, you can generate those Job Outputs with the click of a button, so they are ready to be billed.

A- A Job Outputs Schedule need to be defined on the Schedules tab for the Job. And it must be approved.
B- Select the Outputs from the schedule in the Standard Outputs tab in Job Maintenance.
C- Go to Job Outputs under Billing, and click on Generate Job Outputs button.
D- In this window select the Schedule you want to generate the outputs from, the Period and the Output date. Standard outputs indicated as ‘Special Rate’ will use the Rate indicated, while unticked outputs will use the current rate from the source Output Schedule.
E- The outputs are generated and will now show as unbilled transaction in Job Outputs.
F- Save the Outputs lines. These can then be billed using the normal billing process.

Timesheets

Timesheet Administration:
An option to send employees a copy of their approved timesheets has been added on this screen. This is a great option for those employees that do not have access to Workbench for whom the timesheets are entered by an administrator, and want to have a record of the time entered on their behalf.

A new Email column has been added. When this is ticked and the timesheet is approved, it emails a timesheet PDF to the selected employee, and attaches it to the corresponding timesheet. This happens when clicking the Save button on the bottom right of the screen. The report format can be selected from the Report Format dropdown.

Administration

Data Transfer - Data Imports:

  • New Activities import. This data import allows you to import all activity types. It is recommended to be used for onboarding process when setting up a new site.
    The template spreadsheet will:

    • validate that the required columns are populated for the activity type specified.

    • disables those fields that are not needed for the selected activity type.

    • if an activity already exists, the import will error. This does not overwrite any existing data.

 

 

Feature Revisions

Jobs

Contract’s Budget:

Filters on the Contract Budget tab have been revised to make sure they are working properly. The ones below have been amended:

  • Approved

  • Budget Date

  • Year / Period

Lists

My Approvals: Job Sales Credits have been added to My Approvals.

Dockets and Daysheets

  • Daysheets:

    • When copying daysheets that have Docket lines and Timesheet lines, docket lines were not being saved. This has been rectified.

    • Job Selection:

      • When changing the Job code on the Daysheet header, this change of job selection is now reflected on all job pickers on all tabs and plant items linked Timesheet lines to match the new job selection.

      • Control parameter Daysheet Entry Mode (Switches on how header job affects daysheet lines.) now works as expected on Daysheet Timesheet lines to determine what jobs can be selected.

  • Contractor Daysheets:

    • On unapproving a Daysheet line, the associated JobTransactions record is now deleted following the rules below:
      Unapproval is not allowed if:

      • the daysheet line has been processed on an AP Invoice or a Voucher,
        or

      • the associated JobTransaction has been exported or billed.

Reports

The report types below have had the filter for companies reviewed and tweaked so each repor type have the relevant type of companies for selection:

  • Subcontractor and Subcontract Transactions reports: now display only Subcontractor companies on the Subcontractor picker.

  • Job and Job Transaction reports: now display only Client companies on the Client picker.

  • Purchase Requisition reports: now display only Supplier companies on the Supplier picker.

Timesheets

Plant issues on Timesheets:
When editing an existing timesheet line with plant issues associated to it, changing the Job code was not changing the Job Code on the original plant issues, causing user to re enter and creating duplicates. This has been rectified, and the Plant issue’s job changes to the updated Timesheet line job.

Plant

Plant Location History:
When a plant item moves location, we record this in the Audit table, and the history of movements can be displayed on the plant item. The audit details have been tweaked so it always shows complete (dates and person modifying it) and only record an entry if there was an actual move of location.

Quotes

Quote enhancements:

  • BOM Items on a Cost Sheet:
    The application now caters for BOM Items with a period symbol (.) in their description. This was causing an error on previous versions.

  • Cost sheet job picker is now filtered for Quote job and its subjobs.

  • After approving the quote, Cost Sheet details are not editable except for the Job Code that can now be edited from the grid.

  • Rectified an issue where the Claim Schedule created from a Cost Sheet was not visible in the Contract Enquiry - Schedules tab.

  • On [Create Budget] an error will be displayed if the Quote Job's Cost Activity Group is different to the Quote Activity Group since the budget will not generate correctly if these are not the same. This is not disabled until after budget has been created.

Service Desk

Service Logs:

  • Financial Summary on Completion tab has been redesigned. Columns Retail, Billed, Margin are controlled by Control Parameter 'Log Maintenance Retail Values', to show or hide.

     

  • Expected End field on General tab, is now populated by Upvise End Date+Time, when syncing Jobs from Upvise to Workbench Logs.

  • Site Address on General tab, is populated with Upvise Job address, when syncing Jobs from Upvise to Workbench Logs.

Month End

Export Control:

  • On WIP Batches the GL coding now happens when printing the batch or exporting the batch to ensure GL codes are always populated.

 

Integration

Upvise

  • Manual Data Setup:


An option to export Job Work Centres together with their Jobs, has been added under the Manual Data Setup screen in Upvise Integration. This performs a bulk export of all Job Work Centres, and is usefull for onboarding and setting up a new site.

  • Logs imported from Upvise:
    HTML Tags appearing in Log Comments imported from Upvise have been removed. Plain text is now being displayed.

  • Schedules included in hourly sync:


    Changes to Output Schedules and Docket Schedules are now included in the hourly sync from Workbench to Upvise.

  • Renaming the break field for time in Upvise:
    The “Number of Breaks” field in Daily Diary project hours and Equipment hours can now be renamed and the import into Workbench will still work and will not brake.

  • Leave request in Upvise now cater for days and hours. It used to only cater for whole days.
