Overview:

This popup is accessed from the Contractor Schedules screen. Here, you can create new schedules for contractors to use with the Contractor Daysheets module. Schedules are set up for only one Job and Supplier combination at a time, but you can Copy From other schedules to quickly create multiple similar schedules with minor differences. Ensure that the schedule you create matches the agreed invoicing structure with the contractor, or make sure that the schedule is clearly communicated to them.

Screen Guide:

Header Section:

  • Description should communicate the purpose of this schedule at a glance.
  • Job is the Job that this schedule is attached to.
  • Supplier is the supplier Company that this schedule is attached to. Only this supplier can use this schedule.
  • Inactive checkbox, when ticked, makes this schedule unusable. When you are finished with a schedule that has been used, the schedule isn't deleted but rather made inactive. You can still Copy From inactive schedules.
  • Manager is the user that has oversight over this schedule or supplier. This is mostly for filtering and reporting purposes.
  • Supervisor is the user that will be directly responsible for the approval of Daysheet Entries resulting from this schedule. Generally this would be a foreman or similar position that has knowledge of the contractor's activities.
  • Copy From allows you to select from your previously created Contractor Schedules and copy the line details to this schedule using the  button. Doing so with existing lines will simply add the copied items to the list rather than replace them, making it easy to copy multiple schedules into one new one if needed.
  • Reference is a space to add optional additional text for reference purposes.

Lines:

  • Type refers to the following types of transactions and assists with reporting:
    • - External Labour
    • - External Plant
    • - Materials
    • - Subcontracts
    • F - Fuel
  • Code is an alphanumeric shorthand for this line.
  • Description should describe the line effectively for the contractor to use it correctly.
  • Reference is another optional text field if needed.
  • Activity is the desired Activity that matches the Type selected and the Job Budget.
  • Work Centre is the desired Work Centre that directs the cost to the correct Job Budget.
  • Unit is the unit of measurement.
  • Quantity is the standard quantity for the line.
  • Dockets displays how many dockets have been processed against this line so far.
  • Cost Rate is the value that this line is worth per quantity.
  • The Bin checkbox can be used to delete an unwanted line by ticking the box and then clicking save.

If it is more convenient, you can use the Import button to bring in large quantities of lines from a file. Note that the column structure must match exactly.

Remember to Save after making any modifications to the schedule.

Next Steps:

Once you have finished creating the schedule, ensure that your external Contractor Daysheets users are set up for the supplier company so that they can log in and create Daysheet Entries.
