User Interface Migration
All user interface functionality from v3 has been migrated to the new v4 user interface style. The functionality on existing screens are retained with the exception of those updates as listed in detail below in Feature Revisions.

Feature Revisions
A. Administration
- Licence Management
a. The view has been amended to display the count of allocated licenses.
b. A new tabular view has been added to provide a License Module to User view of licenses, and should ease the process of adhoc license allocation.
2. Users List
a. A 'Site Map Profile' option has been added as filter criteria for the Users List, and allows selection from a list of the defined profiles.
B. Companies
- Company Details
a. Additional permission granularity has been added to support distinct control for Read Only, Edit Company Contact Details and Notes, and Edit Company scenarios.
C. Discussion Module
- Discussions List
a. A 'Mark All As Viewed' button has been added to indicate all items have been reviewed without the need to click items individually.
b. A new Discussions list is provided that provides a list of all discussion notification.
D. Exports
- MYOB
a. Before attempting to post AR, AP, and GL transactions to MYOB, the LockPeriodsPrior property in Preferences is now checked and an error reported as "Posting Date is locked" if the document date is prior to that property.
b. Payroll Timesheet export has been added to the MYOB Interface.
c. An additional setup has been added as required to operate on Local SE version.
E. General
- Activity
a. All Activity dropdown lists have been replaced by a picker control that support standard searching by activity code or name, and the option for full popup search criteria.
2. Approval Workflows
a. Settings are now available to specifically disable email prompting on approval for AP Invoices, Subcontract, AP Voucher, or PO.
b. The email address is now defaulted based on the specified assigned approver for the related document.
3. Attached Files
a. The concept of an inactive file attachment has been deprecated and file attachment lists and filters no longer support the inactive flag. File attachments can be deleted if required.
4. To Do List
a. Additional filter criteria have been added for To Dos, specifically Do By Person, Created By Person, and Completed.
F. Home
- Quick Search
a. The Quick Search display is now aligned to the user Site Map access and the respective search is hidden if there is no access to the corresponding list.
G. Leave Management
- Leave Request
a. The default values for Job, Activity, Time Code and Work Centre on Leave Requests can now be defined at Leave Type - Profit Centre level, and matched to the Profit Centre for the leave applicant. This is configured in Leave Type Maintenance. Previously these defaults were matched at Leave Type only.
2. Leave Scheduler
a. The Leave Scheduler was displaying all active people records; it now displays all active employees only.
b. The Secondary Approver is now permitted to edit and approve leave when the Primary Approver is Out of Office, but read only otherwise. Previously the Secondary Approver had read only rights.
H. People
- Person Details
a. Additional permission granularity has been added to support distinct control for Read Only, Edit Person Contact Details and Notes, and Edit Person scenarios.
I. Purchase Order
- Purchase Order Details
a. A Delete button is now available when the PO is unapproved. An error message is displayed if there is related data and so the PO cannot be deleted.
J. Purchase Requisitions
- Approval Workflows
a. An option has been added to Workflow Schema details to indicate a technical review as being 'Technical Review Option'. When not set, the existing approval workflow rules apply i.e. the applicable technical review workflow schema occurs, and only after its approval is the value review workflow schema triggered. If the option is set, then the workflows are triggered in parallel and the technical reviewer is read only and their approval is not required i.e. the technical reviewer is simply informed. Value Review workflow schemas may now include alternate purchase requisition approvers. These will be defined with the same limits but higher sequence value, and may be selected by users with ‘Purchase Requisition Administrator’ role from the Workflow/Messages screen should delegation not be appropriately setup.
2. Assign to Editor / Requester
a. The person picker has been amended so that there is no person selected by default.
b. The original Requester has been added to the list of people to allow an Editor to assign it back to the requester if needed. The Requester would be notified by email in this instance and the status changes from 'G' (Assigned) to 'S' (Saved).
3. New Purchase Requisition
a. The default quantity on a new purchase requisition line is now 1, where it was previously 0.
4. PO Creation From Requisitions
a. The confirmation message has been amended to provided details of requisitions successfully and unsuccessfully processed. Previously the confirmation message only provided detail of unsuccessfully processed purchase requisitions.
b. The supplier contact on the purchase order being created now has the option being a person in the system or just the free text user.
5. Purchase Requisition Detail
a. The Line Details column has been moved to be the first column to improve line identification.
b. The description of the Purchase Requisition has been placed into a separate field from the code to improve readability.
c. A new Purchase Requisition will open with a default empty line for ease of use.
6. Purchase Requisition List
a. For more efficient use of screen space, the currency description has been removed from the list only leaving the currency code.
7. Workflow
a. The Workflow Schema definition has been enhanced to include a new Document Type attribute. On creation of a purchase requisition the Document Type attribute is specified to drive the applicable workflow.
K. Resource Scheduling
- Job / People Scheduler
a. View only versions of the schedulers have been added with feature based on the existing scheduler with the same filter functionality.
b. A default value of 100% will now display next to the employee name. Previously only displayed after being edited.
L. Service Desk
- Log Maintenance Detail
a. The entries on the Timesheet tab now include the Time Code of the entry in the grid view.
b. A service log with a Complete status is now read only, except for a status change.
M. Timesheets
- Daily / Weekly Timesheet
a. The calendar days are only enabled for the current work week in question. Previously it was possible to select a date outside the current week which could lead to confusion.
b. The default date on a new timesheet entry will be as per the date on the previous line.
c. The rounding of the quantity specified is now governed by the Control File 'Time Units/Hour' setting where rounding rules apply for Time based activities.
d. Added support for kiosk mode on Timesheets where the same physical computer and browser is shared by multiple users logging their time.
2. Timesheet Batch Entry
a. A message is displayed to confirm whether the user wants to save their changes is now displayed when cancelling a timesheet batch entry after edits. Previously the changes were abandoned without a message.
N. Vouchers
- Voucher Approval
a. The approval of sub claim vouchers no longer requires value validation, and can be approved or declined without value validation.
b. On voucher approval the send notification popup screen has been removed. The screen is still displayed on voucher decline.
c. The list of users on Voucher decline has been relabelled and displays Reviewers only as the workflow does not route the voucher to the Approvers. The list previously listed Reviewers and Approvers.
