New Features

Quotes - Create Claim Schedule

Claim Schedules can now be created from accepted Quotes with Revenue & Cost Element cost sheets.

A. The option to create Claim Schedules is only available after the Quote is accepted i.e. status of ‘Accepted’ or ‘Budget Created’.

B. Select one or more ‘Revenue & Cost Element’ based cost sheets from the Cost Sheets tab.

C. Click the Claim Schedule option from the Perform menu. An error message will be displayed for any cost sheet that is not Revenue & Cost Element based, or if a claim schedule has already been created.

D. A Claim Schedule is created per valid cost sheet with all the respective revenue lines where the Cost Sheet Line Codes must be unique. The Claim Schedule Name will be that of the cost sheet.

Feature Revisions

Timesheets

  • General - Introduced a control parameter ‘Allow Zero Timesheet Lines’ which, if ‘Yes’ then saving timesheets does not delete zero lines; the default is ‘No’. This is used by some clients for their processes.

  • Timesheet Administration - Rectified a display issue that did not refresh when the person changed when cycling through the detail of timesheets using Prev and Next buttons, and clicking on the Payroll button.

Purchasing

  • Purchase Requisition -

    • The Job picker popup is amended to always exclude Finalised jobs. This was previously a default condition that could be removed.

    • The save action of Extension Columns has been optimised for PRs.

  • Purchase Order -

    • The Job picker popup is amended to always exclude Finalised jobs. This was previously a default condition that could be removed.

    • Introduced Budget column on the PO lines grid, refer to Budget below.

    • The Line Code picker suggestions now auto filter for the specified supplier and the System Catalogue.

    • The PO line ‘Details’ popup has been enhanced.

A. It displays related Dockets in the Receipts section prefixed by ‘Dkt’ i.e. where PO are created from Docket Cost Schedules; while Inwards Goods receipts will list with the prefix ‘In’.

B. Related AP Vouchers display in the new AP Voucher section with typical data.

  • AP Voucher List - Updated the ‘Assigned’ person picker to list only users with logins rather than employees.

  • AP Voucher -

    • The workflow approval has been amended to apply the workflow limits on the absolute value of the voucher. This is to cater appropriately for negative total values, as a different scenario to a voucher credit.

    • An issue was introduced in the prior release that affected the display of the Voucher popup from a link. This has been rectified.

  • AP Invoices - Rectified a local currency GST calculation when processing foreign currency POs using AP Invoice Batch Entry.

Jobs

  • Jobs List - A ‘Logs’ option is now available on the Job ellipsis if you use Service Desk Logs. This option opens the Log List pre-filtered for the Job and sub-job context.

  • Job Enquiry - The Log column in the Transactions tab is now a link which displays the Log Detail on a new tab.

  • Budget Detail - A popup is now available to view created POs and WOs.

A. The ‘WO/PO’ column can be enabled to display the info icon.

B. Clicking the icon displays the Purchase Orders and Work Orders popup.

C. This popup lists the POs and WOs created from this budget. It does not display all PO and WO lines with matching Job / Work Centre / Activity.

D. The PO/WO number link will display the respective document in a new tab.

E. If the Budget column of the respective document grid be enabled, then a link is displayed on the same basis.

F. The budget link label is the Internal Reference and opens the Job Budget in a new tab.

Billing

  • Job Output Entry - The Rate on Job Output Entry is now editable based on the permission ‘Edit Output Rates’ to 4 decimal precision. This permission is only granted to the Administrator role by default. This is not applicable to Output entry on Daysheets and Log Maintenance.

  • Job Credit - Rectified an issue where the email tokens on the Send Email were no longer rendering.

Dockets

  • Dockets List - The import utility wbImportDocketLines has been amended as the lines were not visible after running the utility.

  • Docket - Attachments are now supported on Docket Line via the paper clip icon. Consequently, this is also available where dockets are used, namely Daysheet Dockets tab and Voucher Dockets Lines tab.

Subcontracts

  • Contractor Daysheet - The Docket header CompanyID is now populated from the schedule i.e. Catalogues.CompanyID, and not the user who entered the daysheet. This caters for the scenario where daysheets are entered by the admin people of behalf of the subcontractors.

Month End Process

  • Batches - A review was made to ensure that basic audit field were populated for the batch Closed, Not For Export, and Exported indicators.

  • Payroll - The Payroll export utility was amended to handle NULL quantities.

Service Desk

  • Log Maintenance - Simple invoicing from the Log is now available.

A. An ‘Invoice’ button is now available on Logs. Clicking this generates an Invoice linked to this Log by JobInvoices.LogNo. Once an invoice is generated, the button will no longer be available.

B. Once generated an Invoice link is displayed with the Invoice Number. This link displays the invoice in a new tab.

C. Using ‘Get Sales’ will display the typical screen, but in this context the transaction will be auto filtered to for the Log and will be Pending. Note the auto Log filtering is hardwired and cannot be amended in this scenario.

Administration

  • Utilities - The parameters for the wbChangeScheduleOutputCodes utility are amended to enable it to be run on Output Schedules as well as Claim Schedules.

  • Control Parameter List -

    • The column widths have been refined for readability.

    • When enabled, the control parameter ‘No Change to Work Centres’ limits the Work Centre picker to only the Activity Group configuration for the Activity. It was not applied in some cases and this is rectified.

  • Setup Wizard - The system currency will no longer be modifiable if the Companies, Jobs and Price Codes tables already contain data of mixed currencies. This wizard is typically only used for initial system setup.

Reporting

  • Report Viewer - The viewer commands timeout period has been increased from 30s to 5min to account for some on-premise hosting conditions.

Integration

Upvise

  • Companies - Currently only companies with the Supplier flag are sync as Suppliers in Upvise, this is amended. Now:

    • Workbench Company – (Subcontractor OR Supplier) and Other flags → UPVISE – Supplier

    • Workbench Company – Only Other flag → UPVISE – Client

  • Dockets - Docket line attachments from Upvise are now synced to Workbench.

Report Revisions

  • wbJobTransaction001…013 - Job Transaction reports - The reporting procedure has been amended to return JobTransaction.LineDescription rather than BatchHeader.BatchReference for Adjustment transactions.
