🆕 Contract Claim Process - upcoming changes you need to know
We will be making changes to improve the Claiming process on Contract Claims, and users will soon be able to:
Capture This Claim Claimed Values.
Capture this Claim Certified Values.
With the Contract schedule claiming process, we recognise the importance of capturing the final certified value and the actual claimed value to have a full picture and history of the claims (similar to how it is done on Subcontract Claims).
This means there will be a slight change in the process in which we aim to replicate the two stages in a real scenario: Claim and Certification. This will be released by the end of June and announced in the Release Notes.
🆕 New Custom Views on List screens coming soon
This new functionality will give you the freedom to create your own reporting and extract your data. Custom Views will progressively be released in most of the List screens.
Admin users will be able to create any number of Views with preferred columns and filters.
Default standard views will be provided, starting with Standard Job Invoices View, Aged Debtors, Contract Claims.

To use this Tax Invoice edit the current Invoice Type or create a new one from Invoice Type Maintenance, and select the new report.Original Contract Value: Is the total of all the Contract Schedules with a Schedule Type = Original Contract
Plus Variations: Is the total of all Contract Schedules where the Schedule Type is not Original Contract.

Procurement Lists:
Enhancements:The system will display a warning message if there are any lines with blank LineRef when adding Budget Lines to a Procurement List. It will also warn if the LineRef column is hidden in Grid Management, as it should be enabled for the correct use of Procumenet Lists.
The Procurement aggregation rule when creating Procurement lines from Budget Lines has been updated to also include LineRef.
”When importing lines from a Budget, any line with the same Item, LineRef, Activity, Work Centre, the system will consolidate these lines into one Procurement line with a reconciliation screen to show the source (Budget Details column in the List screen).”Highlighted lists in Blue mean they require action from the Procurement Team:
when a comment or a quantity to be purchased has been updated on the Procurement tab,
or when the latest comment has not been marked as Done. This validation is new
New Holding Order report that can be printed from a Procurement list, and sent to a specific supplier. This is used to communicate to a supplier the intention of purchasing a list of materials/services, that will be soon confirmed with Purchase Orders. For the report to work, a Supplier and a Job must be selected in the filters. A warning message displays if these filters are not selected.
Corrected the calculation for Remaining Qty on Procurement tab.
Subcontract activity types not allowed in Procurement:
We have excluded activities with a type of Subcontracts. Only Activities with a Purchase type are allowed in Procurement.
When adding Budget lines to a Procurement list, Subcontract activities will be ignored, same as with Time activities.Cancelled PO not included in Outstanding values:
Cancelled PO are now excluded from:the Procurement Ordered O/S Qty;
the Summary Ordered O/S Qty and Value;
the History tab will display them as Cancelled instead of Completed.
Stock
Bill Of Materials (BOM)- Plant item not mandatory:
On Plant type line (P), we have made the selection of a Plant Item not mandatory, and the activities allowed for selection are only Plant activity type.
Subcontracts
Work Order attachments visible from Subcontract Claim:
Any attachments on Work Orders are now visible from the Subcontract Claim Attachments, on the Related tab.
Billing
Job Invoices:
A new data source populates the list of Job Invoices. There is no evident impact or change in the user interface, however, this is required for us to enable the Custom Views that are soon to be released into Job Invoices and many other List screens.
Forreign Currency Amounts:
By default the amounts displayed on Job Invoice List are Forreign Currency (FC) amounts.

Getting InterCo System Batch - Export Control:
When assigning an inter-company AR or AP invoice to a system batch, the system now validates that the system batch is not in the process of being exported.Utilities - WIP Adjustments enhancements:

System Setup
Setup Wizard - Valid Time Units:
There is now a validation on the value entered in Time Units Per Hour. Only valid units can be entered: 1, 2, 3, 4, 5, 6, 10, 12, 15, 20, 30, and 60. The description has been updated to explain this.
This will prevent errors in Leave Requests and clarify the misconception that timesheets are storing fractions of minutes.
Administration
General Config - Extension columns:
A new data type is available as a generic picker for Companies or Employees. If either is inactive the system appends (inactive) to the names.
We currently have the option of using a Combo and a SQL query to grab data from the database - for example, the Driver extenstion column in Plant.
And we are now introducing a generic picker, for better performance. Depending on what picker you want to use, enter the correct syntax in the Combo List:To select from a list of Employees: Employees(){Person}
To select from a list of Companies: Companies(){Company Name}
Roles - Administrator role now includes the 'Stock Admin' and 'Plant Admin' permissions.
Fixes
Dockets & Daysheets
Daysheet - Stock quantity and Unit Cost:
Unit Cost and Quantity values in Stock issues now allow 4 decimal places.
Plant
Duplicating Plant item errors:
We have made improvements to avoid intermittent errors when duplicating a Plant Item with a large number of extension columns. We have also improved the logging of errors in case it does happen again, so it can help us troubleshoot.Plant Item Code limit of 20 characters:
We have limited the size of new Plant Codes for new plant Items to 20 characters. Codes are codes and as such are not meant to be used as a description. Details of a Plant item can be added in the Name/description field.wbImportPlantJobSupplement import procedure has been fixed, as it was confusing Plant Pricing group with Plant group.
Quotes
A few enhancements when saving a new Quote:
Fixed an error when saving a new quote but choosing cancel on the prompt that asks the user to confirm if saving.
Workflow actions are now hidden until the new Quote has been saved and it has a Code, to avoid invalid actions.
Administration
Data imports - controlled access based on permissions:
Each data import has a permission that allows users to make use of it, or there is a catch-all permission which grants access to use all data imports (Run All Imports).
However, some data imports are accessed through their own screen rather than Data imports, like AP Invoice lines in an AP Invoice, Job Invoice lines in a Job Invoice, Stock issues through a Batch, etc. We have improved the access to these Import buttons based on each User’s permission. The Import button will be greyed out if the right permission is not granted.
Upvise
Attaching Files in upvise
An issue preventing users from adding "Xls" and "PDF" file types to projects, equipment, and jobs on the web has been resolved. Users can now perform these actions without encountering any errors.
Contacts- Phone Number on Mobile app
Upvise resolved a display issue where the same phone number was displayed on multiple contacts incorrectly on the mobile app. Phone numbers will now display correctly the phone number relating to the contact.
Daily Diary- Time Generation
We have resolved a bug in the Upvise Daily Diary that was causing timeslot duplication.
Previously, some clients experienced duplicate entries in Timesheets > Timelogs, which led to duplicate timesheets syncing to Workbench.
This issue has been addressed and a fix has been deployed to ensure accurate time tracking.
Equipment Utilisation History
Upvise now displays a comprehensive 12-month utilisation history for individual equipment, up from the previous 6 months, providing a more extensive overview of usage over the past year.
Manage Users via Setting option
Upvise resolved an issue where users were unable to access "Manage Users" via the settings icon in the web version of Upvise. Users can now click on "Manage Users" from the settings menu without any loading issues.
Search Function in Upvise
An issue affecting the global search fields in Upvise on the web has been resolved. Users experiencing difficulties searching in various modules can now utilise the search functionality without any issues.
