Overview

The Attendance App (Single Location Model) within Upvise enables structured, scanner-based attendance tracking at a single factory, depot, or fixed-site location.

This model is designed for businesses that require controlled entry and exit tracking at one physical site. It uses a dedicated attendance scanner device to record employee check-in and check-out activity throughout the day.

Unlike the standard Attendance app:

  • ❌ Does not support multi-location attendance

  • ❌ Does not support mobile/manual check-in

  • ✅ Supports multiple scans per day at one fixed location

  • ✅ Uses a single, dedicated scanner device and scanner licence

  • ✅ Automatically manages daily submission

This model ensures structured attendance capture while aligning with Workbench’s attendance limitations.

Getting Started:

To begin using the Attendance App:

Ask your Workbench Consultant to organise the installation of the Attendance Scanner App, Daily Scan Forms, and Workbench Central on your Upvise site.
A new User must be created and licenced in Workbench with a dedicated account to be used on the scanning device. Assigning a Licence & User Creation - Upvise Documentation - Confluence A unique Upvise licence is required for the attendance scanner device. This licence must: Be allocated to a single, fixed device Not be used for any other purpose Not be logged into on additional devices The scanner device is installed at the factory/depot entry point.
Use Workbench Central to configure your employee QR codes via the QR Code setting. The Body section can be used to include a disclaimer, safety message, or terms of use. The Footer is optional and may contain your company name, core values, or other branding. Rows determine how many QR codes appear vertically per page in the generated PDF. Columns determine how many QR codes are displayed horizontally per page. Once configured, export and print the QR codes for distribution to employees. You can also create your own custom report in Sharperlight if you require the cards in a different format.
Export, print, and distribute the QR codes to all employees. In Upvise, navigate to the Contacts module. Click on Groups and select “Employees”. Use the checkboxes to select the employees you want to generate QR codes for. Click the QR Code Generator icon in the top menu bar to create the codes. see example: Sample QR code report
:cross_mark: Ensure attendance scanner app permissions are disabled for each employee's user account, application rights in Upvsie. :check_mark: Ensure that Attendance Scanner app is only enabled on the New Scanner account. It is recommended that the dedicated Attendance Scanner account: Is configured as a Standard User or Manager User (not System Admin) Has only the Attendance Scanner app enabled Does not have access to any other Upvise applications To further strengthen security and reduce the risk of misuse, it is also recommended that: The Scanner account has a role applied that includes access only to Daily Scan forms No additional form templates or modules are included in the role This configuration helps ensure correct usage of the Attendance Scanner, limits unintended access, and improves overall account security.

 

Functional Scope

  • The Attendance Scanner is designed for single-location scanning only.
    If decentralised attendance tracking is required (multiple locations and/or multiple devices), the Project Attendance app should be used instead. Attendance App (Project Attendance- Multi-Location)

  • A dedicated Scanner User logs into the scanning device.

  • Employees scan their QR code throughout the day as they enter and exit the site.

  • On the first scan of the day:

    • The previous day’s attendance scan is automatically completed.

    • A new attendance scan is automatically created for the current day.

  • If an employee forgets to scan out, their scan-out time is automatically set to 10:00 PM for the previous day.

  • The attendance scanning device should be regularly closed and reloaded to ensure data synchronises correctly with the database.

  • No manual form submission is required; all attendance records are created and submitted automatically by the application.

This will open a “camera” screen, and employees' QR codes can be scanned.

 

  • On Android Devices- you will hear “scanned in <Employee Name>” after each scan.

Data Syncs Hourly to Workbench for the generated reports. You can view Attendance Integration Status via the upvise integration page.

Attendance Records can be reviewed against the Employee’s timesheets in Workbench. See example where the Time and attendance are recorded and the Variance is visible for that day.
