Workbench API Licence - NOW AVAILABLE

The Workbench API is now available on the Purchased Licences tab of the Licence Matrix. Formal license validation will only be applied from March 2026 i.e. 2 March in 4.8.5.

If you are currently using the Workbench API but are not licensed then we recommend purchasing the ‘Web API’ Licence, see below for details.

NEW Upvise Web Interface - Feb 10, 2026

Notice: Xtracta’s new learning screen to be released

The new Engine Learning Screen (ELS) from Xtracta will be released. It introduces several features to improve your document processing and training workflows and will replace the current screen for processing documents. This switch over will be in v4.8.4. Should you want to be an early adopter please contact your consultant or Workbench Support.

Xtracta will stop supporting the current screen.

Although the basic processes will be familiar, we encourage you familiarize yourself with the new interface and its capabilities to make the most of the new features. You can review the user documentation [here].


Enhancements

Leave Management

  • My Leave Requests - Has been enhanced to support multiple leave requests per day for leave less than a day, where previously any additional leave would be marked as “Duplicate Date”. Now the leave request(s) are valid as long as the sum of the leave hours are less or equal to the work hours. Any additional leave requests will still be marked as “Duplicate Date”.

General

  • Send Email, Attachments - The file attributes for attachments now indicates the document and its key. In the image below from a Job Invoice we see the attachments on related Job and Logs are identified, and these attribute are also searchable.

Functional Adjustments

  • Pagination and navigation tools moved to the top-right toolbar

  • The company name is now displayed in the left pane under the logo

  • Company branding has been enhanced so your company colour now applies to the left-hand menu selection, providing a more consistent look and feel across the application.
    Note: In the new UI, the top banner colour is now standardised and is no longer configurable.

Jobs - PDF Setting

Jobs - Archive Search Enhancements

  • The search functionality in the Jobs archive has been enhanced to include the linked Project & Equipment as a search option:

Forms - Question Field “Add + button for comment and picture”

A new option has been added to the Question field: “Add + button for comment and picture.” When enabled, a + icon appears next to the toggle options, allowing users to quickly add a comment and one or more photos directly against their response.

This all-in-one Question field reduces the need for separate comment or photo fields when notes or images are commonly required alongside question answers.

Forms - Templates Subform Status

Disabled form templates can no longer be created when they are linked within another form.
If a Subform template is set to Disabled, the Subform button will not display during data entry. This ensures that only active form templates can be used by end users.

Example scenario

  • A Subform template has Status = Disabled

  • The disabled Subform template is still linked within a parent form template

  • When creating or editing the parent form, the Subform button does not appear

  • Users cannot launch or create records using the disabled Subform template

Fixes & Technical changes

Workbench

  • Work Orders - Additional fixes to correctly handle required extension column validation.

  • My Approvals - The list performance was reviewed and optimised.

  • Purchase Requisition - Fixed the link in the PR approved email to go to the PO Creation Screen. The link was showing the PR details previously.

  • Daily Timesheets - Updated the validation to save a timesheet line if only the EBA profile is different. Previously the EBA Profile was not included in the validation and lines only differing by EBA Profile would trigger a duplicate line error and not save.

  • Job Sales Invoices - Updated the wbImportARInvoiceLines import to retain the line ordering that was affected by the Entity Framework update.

  • Period Maintenance - Enhanced the screen to auto clear cache whenever there is a Period Maintenance change.

 Upvise

  • PDF on Android: Resolved an issue where PDF outputs generated on Android could display a different date/time compared to Web and iOS. PDF timestamps are now consistent across all platforms with correct timezone handling.

  • Date Fields in Forms: Resolved an issue where date fields with default values could display in an invalid numeric format and allow free-text entry on mobile. Date pickers now render correctly across all platforms and only accept valid date values.

  • Forms Dashboard: Fixed an issue in the Forms dashboard where favourited forms could not be launched. Clicking a favourited form now opens the form as expected.

  • Workbench Central:

    • Resolved an issue in Workbench Central where the Service Interval Settings menu could appear blank on some sites. The settings now display correctly.

    • Resolved an issue where some non-admin users could access the application. This is now correctly restricted to Admin users only.

  • Job Labour & Mileage: When the Simple workflow is disabled, mileage and labour costs are now automatically added to Job Items upon job completion. Note: this does not relate to timesheet entry via the daily diary.

  • Duplicate Contact: Fixed an issue where contacts may have been duplicated when users were licensed with email addresses containing uppercase characters. Email validation is now case-insensitive during user creation, preventing duplicate users. Any existing duplicate contacts can be safely deleted if required.

  • File Export:

    • fixed an issue where bulk-downloaded photos with timestamps in the filename could not be opened after downloading from the Files app. Timestamped images now download correctly with valid file types. A browser cache clear may be required for the fix to apply.

    • Fixed an issue where on windows PC (not MAC), bulk form PDF exports did not export the full list of selected forms via equipment.

    • Merged PDF export for Punch Items has been deprecated. Punches are now exported as a ZIP file containing one PDF per punch, aligning with other bulk export methods in Upvise. This change improves export performance and reduces server load.

  • Equipment - Service History

    • The Service History function has been updated to reference the created date and owner from service forms, ensuring all service records display consistently regardless of how they are created, including bulk imports.

      • Service History reports are now usable for imported historical service data

      • No requirement to import forms as drafts and bulk submit them for visibility

  • Daily Diary

    • Fix for labour hours calculation

    • Time captured via Daily Diary forms will no longer automatically generate a stock/sales “item” on the job in Upvise. This change prevents labour time appearing as a chargeable product (stock) and removes duplicate time entries from Job PDF outputs.

      • Time is still recorded against the job in upvise as normal and can be viewed via: Daily Diary “Daily Diary Details” button. The time will sync as normal to the Workbench Service Log.
