Workbench API Licence - NOW AVAILABLE
The Workbench API is now available on the Purchased Licences tab of the Licence Matrix. Formal license validation will only be applied from March 2026 i.e. 2 March in 4.8.5.
If you are currently using the Workbench API but are not licensed then we recommend purchasing the ‘Web API’ Licence, see below for details.

Notice: Xtracta’s new learning screen to be released
The new Engine Learning Screen (ELS) from Xtracta will be released. It introduces several features to improve your document processing and training workflows and will replace the current screen for processing documents. This switch over will be in v4.8.4. Should you want to be an early adopter please contact your consultant or Workbench Support.
Xtracta will stop supporting the current screen.
Although the basic processes will be familiar, we encourage you familiarize yourself with the new interface and its capabilities to make the most of the new features. You can review the user documentation [here].
Enhancements
Advanced Plant Service feature (Workbench)
The Advanced Service feature is introduced for clients who require support for manufacturer’s maintenance routines that dictate specific requirements for their service schedules. This is available in addition to the current service repeat option defined on Plant Groups.
The Advanced Service setup comprises:
option to select a Service Schedule per Plant Class
defining the Service Schedule Steps, each with a Plant Log Template
defining the Plant Log Templates, specifically the Budget tab
The Advanced Service operations comprise:
option to create a Plant Log based on the Plant Log Template of Service Schedule Step
updates to next service reading on various views to use Service Schedule Steps

Related Logs feature (Upvise + Workbench)
A call-out is recorded as an Upvise Job, however, in some cases multiple visits are required, each visit being a separate Upvise Job. Since each Upvise Job syncs as a separate WB Log, the invoicing of this single call-out is not simple because there no easy way to identify them together. This enhancement allows the multiple visits in Upvise to be related and simplifies their billing.
For more details refer to the topic Related Logs and their billing. This is an Upvise only scenario and cannot be originated in Workbench Logs.

Purchasing
Purchase Order - The control parameter "PO Supplier Location Limited" = Yes currently filters the Supplier suggestion list and defaults the search popup, but the user has the discretion to remove the Location criteria. For clients that want this criteria locked in place the same control parameter now supports a “Lock” option.
Plant
Plant - The Project attribute on a Plant has been renamed to Job to align with Workbench terminology. The attribute is now configurable to suit usage.
Options via the ‘Plant Job Source' control parameter are:
Upvise - edit disabled; syncs the project from Upvise if ‘Plant meters’ import is enabled. This is the default option if Upvise is in use.
Manual - manual edit by user using the Assign Project popup, does not sync. This is the default option if Upvise is not in use.
Plant Issues - edit disabled; auto displays the Job of the latest plant issue.
System Setup
Workflow Schemas - A new ‘Subcontract Administrators Only’ function lists active people with a login who are already assigned as a subcontract administrator on any subcontract.
This differs to the ‘Subcontract Administrators’ function that allows reassignment to any active user as they can be nominated as a subcontract administrator.
Administration
Licence Matrix - The new ‘Web API’ Licence is now available under the Site Licences section. No action is required from clients already using an API licence.
If you are currently using the Workbench API but are not licensed then we recommend purchasing the ‘Web API’ Licence or contacting support at support@wbi.freshdesk.com should you have any questions. Licence validation will only begin with the first release in March to give any unlicensed clients time to decide.

Upvise
Jobs- Parent/Child Jobs
NEW functionality has been introduced in Upvise Jobs Module (Service logs) to Parent / Child Job relationships to support billing enhancements to Workbench service log handling and invoicing.
This enhancement links multiple related site visits (created by duplicating jobs) back to a single original call-out in Upvise, known as the Parent Job.

Jobs- NEW Mandatory Fields Setting
A new Mandatory Fields setting has been added to the Jobs module in Upvise.
This allows administrators to configure any Job field — including custom fields — as mandatory.
For example, if Job Group (groupid) is set as mandatory, it must be populated when creating a job. If the field is not entered, the job cannot be saved.
This enhancement helps ensure data integrity, consistency, and alignment with your business processes.
Workbench Central- Generated Time (Admin Time Analysis Tool)
A new tool has been introduced in Workbench Central to help system administrators view, analyse, and manage timesheet forms (daily diary forms) and their related time records more effectively.
System admins can now view form-based time records in a web list view, making it easier to audit and analyse time data across the system.
Each record displays:
Form ID
Related plant or person
Start time, finish time, and calculated duration
Timeslot and timeslot ID
Activity code
Work Center
Project and Subproject (if applicable)
The list can be exported to Excel or CSV, enabling deeper analysis and reporting outside the platform.
SMS - Start Date/End Date Placeholders
SMS notifications sent to employees can now include the Job Start Time and End Time.
New placeholders {StartTime} and {EndTime} have been added to SMS templates in:

Leave Application
When creating a new Leave Application form from Form Favourites Application, the system now prepopulates the following fields using the logged-in user’s details:
Contact (LinkedTo)
Leave Requested For
This improvement works even where users do not have access to the Contacts module, ensuring the form can be completed without needing to search or view contact records.
Sharperlight
The PersonID is added to ‘Labour Costing Groups’ or 'Labour Costing Group Lines' tables.
