Profit Centre Groups

Overview:

While Jobs must be assigned to one Profit Centre, a Profit Centre can belong to one or more Profit Centre Groups. At least one of these Groups must be assigned to a User for them to be able to see or use a Job. The User is then restricted to seeing/entering data only for Jobs which have Profit Centres included in their assigned Profit Centre Group(s).

For Example: Job Managers may be allowed to view their own construction Profit Centre, but only Admin Staff may be required to view all Profit Centres including administration.

  • a Profit Centre Group with one Profit Centre (Construction) would then be assigned to the Job Manager

  • a Profit Centre Group comprised of many Profit Centres (All Profit Centres) would then be assigned to the Admin Staff

Screen Guide:

The first screen displays a list of all existing groups with their Description and a link to the List screen. You can create additional empty groups by clicking + New Line and then clicking Save, then clicking the new List link next to the new line. You can delete empty groups by ticking the bin icon and clicking Save.

By clicking List on any group, the above window will appear with three tabs. The first displays all Profit Centres, either on the left side indicating that they are not included in this group, or on the right indicating that they are. You can move PCs back and forth by ticking the Select checkbox and then the corresponding arrow button. The Enquire column indicates which PC Jobs the users assigned this group can see the Job Enquiry function.

The Jobs tab is used to give the group explicit access to a list of Jobs, even if the selected Job is not part of any of the included Profit Centres. This can be done in the case where there are no Profit Centres included in the group, only utilising the Jobs tab to give explicit access to a selection of jobs regardless of of the PC.

The People tab displays a list of Users that this group has been assigned to. You can add new users directly to the group using this screen by scrolling to the bottom and clicking New Line and searching for the person. Similarly, users can be removed from the group by ticking the bin checkbox next to their name and clicking Save. This is an alternate way to add users to a group, the primary method being directly in the Users editing window under "Application Access".

Once the desired groups are set up and users assigned, ensure that the user can access the desired PCs/Jobs and adjust if necessary.
