Subcontract Claims Batch Entry

Overview:

This is the screen where you can create new Subcontract Claim batches to contain approved Subcontract Claims Tab, or view existing batches and their contents. Batches are exported through Export Control to your financial system.

Until a claim is added into a new batch, it is by default placed in a holding batch (210000 is the standard number). You can search for this holding batch by modifying the filters to show only that batch number with no date parameters. There is also the option to print a default batch report in every Subcontract Claim Batch Entry

Screen Guide:

The default filter will always show open batches in the current Period, but you can change this by clicking on edit.

Clicking on the Batch No field of an existing batch will bring you to the Subcontract Claim Batch Entry screen where you can add claims to the batch. The blue ellipsis button allows you to edit the batch itself, mark it as closed or not for export (exporting happens in Export Control), and run reports on the contents using Print:

To create a new batch, click + New Batch to open the following popup:

The Batch Date needs to be in the same Period as the Subcontract Claims Tab that you want to add to it.

A Reference is required, but it does not need to be unique. It should be something that can help you easily tell what the batch contains so that you know what to add to it and do not have to run a report on the contents every time. Batch Notes provides an optional area for more text if there isn't enough room in the Reference field.

The Financial Company needs to match which Financial Company the subcontract claims sit under.

Click Create Batch once you have finished making changes.
