Create Daysheet

Overview:

Everything that happens on a job site for the day can be captured in one place, allowing a manager, supervisor, or administrator to enter:

  • General comments for the day,

  • Dockets (for external Plant, External Labour, Materials specified in a Docket Schedule for this Job),

  • Timesheets for internal people and their Plant usage (optionally),

  • Plant usage,

  • Outputs,

  • Stock Issues,

  • File Attachments,

  • and have visibility of any Datasheets for a particular Job.


Supervisors or managers on site can capture data using a Tablet, as this screen is tablet-friendly. Photos and videos showing progress for the day can be captured using the tablet's camera.

Upvise compatibility: In those cases where Upvise is being used to capture Daysheets data (Time, plant, stock, dockets) this data will be synced back to Workbench.

Workgroup Timesheets

The Workgroup Timesheet section is visible on the screen only when the selected date in the Daysheet falls within the range specified in the respective Job Scheduler Work Group. This feature enables you to generate Timesheet lines from the Scheduler and place them in the Timesheet tab seamlessly.

This functionality shares similarities with the previous Daily Diary Crew feature. However, the Timesheet generation expands upon this concept by retrieving data from the corresponding Job Schedule Work Group and populating the Timesheet tab accordingly.

 

 

A. The ‘Work Group Timesheet’ section displays if the Daysheet Date is within the range of the Scheduler Job, and at least one intersecting users has ‘Working Week’ defined.

B. Specify the Work Group for the timesheets to be generated.

C. Specify the date range for the timesheets to be generated.

D. Specify the optional attributes for timesheets to be generated. Note specified attributes take precedence.

E. Click this Generate button to create the timesheet lines which will located in the Timesheet tab.

F. Timesheet lines on the following basis:

Date : per date in the generate range for each person scheduled
Job : as per the Scheduler job
Person : as per Scheduler
Activity : as specified else from person’s Default Activity
Work Centre : as specified else from Activity Group, may be blank if invalid due to Job Work Centres
Time Code : as specified
EBA Profile : as specified
Start : as specified
End : as specified
Breaks : as specified, applies per 'Break Duration Hours' setting levels
Hours : as specified else from person based on:

  • Employee Details - Working Week and

  • Extended Productivity - Week Hours and

  • 'Break Duration Hours' setting

 

 

Tab explanations

On any of the tabs, click on the  button to duplicate a saved line.

Here you enter general details about the Daysheet.

  • Date is a mandatory field and is the date of the Datasheet. It may be amended if:

    • the Daysheet is still open (i.e. not Complete)

    • the new date is in the same period as the old

    • if there are any time lines, the new date is in the same timesheet week as the old

    • there are no transactions that have been billed or exported

  • Sequence is automatically generated by the system to identify this instance of the Daysheet for the Date selected. Multiple Daysheets can be entered for the same day, and the Date + Sequence makes them unique, so they can be easilt found or referenced.

  • Comments is a free text field to record any important information the Supervisor or Manager considers needs to be captured about the day. Commonly used to describe the daily progress for the job.

  • Job is limited by the user's Profit Centre Groups. Is an optional field. The Job selection on Daysheet Header will limit the jobcodes that will be selectable on the daysheet lines on all the tabs. Job selection could be left empty.

  • Entered By show sthe name of the user who created the Daysheet.

  • Complete flag will be ticked once the user considers data entry has been completed and the Complete button is clicked. This makes the Daysheet read only. The Uncomplete button will appear once the Daysheet is complete.

Can Copy must be ticked if you which to be able to copy this specific Daysheet when creating  anew Daysheet. This allows to speed up the process for those cases where the transactions for different days are the same or very similar. Ultimately, it supports the crew scenario with a more flexible approach.



A. The copy picker displays Daysheets that may be copied.
B. The copy-able list of daysheet are based on their ‘Can Copy’ flag. This flag is system-wide for the Daysheet so once ticked it is listed for all users.
C. The Copy button will copy the selected daysheet into the current daysheet, and it:

  • copies entries from Dockets, Timesheets, Plant, and Stock

  • copies Output only if this daysheet header job is associated to the output schedule

  • does not copy File Attachments, Extension Columns, and Datasheets

  • replaces all source tab dates with this daysheet date

  • replaces all source tab jobs with this daysheet header job if specified

  • if source activity is valid in this daysheet header job then leave as is else clear

  • if source work centre is valid in this daysheet header job then leave as is else clear

D. Clears the ‘Can Copy’ flag of the selected daysheet so that it no longer lists as a copy-able daysheet.

Use control parameter  Daysheet Entry Mode to define what jobs can be selected from the jobs list on each tab. A job on the Daysheet header will limit the job selection on the rest of teh tabs.


Docket slips can be entered from this tab, provided the job has an approved Docket Cost Schedule assigned to it. For a description of each column check Dockets Entry Only.

Enable/disable validation of the Job/Docket Number combination with control parameter 'Daysheets Duplicate Docket No Checking'. Default value is Warn. Posible values: No, Warn, or Disallow

A Docket list report can be generated from the Print button.

The description for Line supports 100 character as supported on the Docket Schedule. Note the related Job Transaction LineDescription will be truncated to 50 characters.

The PO Line column will only appear and is mandatory if the item being used has a PO linked to it in the Docket Schedule.

  • A list of incomplete PO Lines associated through the specified LineCode (Docket Cost Schedule line) will display in the picker, dislaying the Outstanding value on the PO.

  • The Activity, Work Centre will default from the Docket Cost Schedule initially in absence of a PO line, but if the PO Line is specified then these would default from the PO Line.

  • In all cases the PO line value will be reduced by the Qty and Value of the docket to correctly show outstanding PO commitments.

  • The docket accrual will remain as a Job Cost transaction with any difference on processing the actual AP Invoice written back to the same job cost.



Use the paper clip at the end of each line to attach a photo of the paper Docket or anything related to the line. Note that the line has to be on edit mode for the file attachment popup screen to open. If you are not editing the line and click on the paper clip, a list of attachment details will show.

Any attachments on Docket lines in Upvise will be imported into WOrkbench docket line as well.

Warning when editing a line

  • When trying to edit a line that:

    • has already been processed in an AP Voucher/APInvoice: Warning: This Dailysheet has been Approved.

    • has already been included in an AR Invoice: Warning: This daysheet has been Billed.

This tab is used to enter Time for internal employees. Optionally, the plant used by that employee and Output Measures can be entered on the same line. Plant issues as showed in a sub-grid.

As per other timesheet plant issues, the Work Centre default is driven by the Activity Group’s Default Work Centre Basis.

Timesheets and Plant Issues originating from these timesheets, must be batched from a Timesheet Batch. See Month End Processes, Batch Labour Journal for details.

Only Plant activities are allowed on this tab.

The Plant issues are automatically entered in a system created Plant Issue batch opened for the period. If there is not an opened one, the system will create a new one.The batch is assigned to the Financial Company of the Plant Item's Profit Centre: Plant → Profit Centre → FinCo.

An option to import plant issues in bulk is also available.
