Overview:

An Additional EBA Profile allows for the application of weekly Weekly overtime rules after the Daily EBA rules have been applied with a Default EBA Profile (and alternatively, any other daily EBA Profiles selected on Timesheet Administration). Overtime weekly rules are calculated on any Normal Time remaining hours after a maximum number weekly total of Normal Time hours, which is defined on the Additional Profile. These profiles are optional and are executed over the Payroll transactions generated by the Daily Rules (Employee’s Default EBA Profile and EBA Profiles selected on Timesheet Administration).

Set up a profile with lines using the Wk option on the Day column. Create a line per Time Group to reflect the weekly rules you need. The
Each line must have:

  1. a Time Group. Only standard Groups called ‘Normal Time', ‘Time and Half’ or ‘Double Time’ can be used. Any custom Group created from Lookups will not work. They need to be added in the right sequence: 'Normal Time’, ‘Time and Half', then ‘Double Time'. A Group can be skipped if not required. Valid setups:
    -‘Normal Time’ , ‘Time and Half', ‘Double Time’
    -’Normal Time’,'Time and Half'
    -'Normal Time','Double Time'

  2. a Time Code and

  3. a Worked hours value. Starting

This Allowance tab must be populated for the profile rules to be executed. Having the rules on Time tab but an empty Allowances tab will prevent the rules from this Additional profile to be executed.

Additional profiles are not intended to generate Allowances. It is assumed allowances were generated by the Default EBA Profile, and the Additional profile will not override, delete or add any allowances.
Instead, this tab is used to indicate the list of valid Time Codes so that the system can recognise the Payroll transactions over which the weekly rules will be applied. In some cases, there could be in use more than one Time Code for Normal ‘Normal Time' or Time ‘Time and a Half' or Double ‘Double Time'. All valid Time Codes must be added on to this tab with its their respective Time Group (see example on the screenshot above). Excess hours create payroll transactions to the next Group Time Code.

This tab must be populated for the profile rules to be executed. Having the rules on the Time tab but an empty Allowances tab will prevent the rules from this Additional profile to be executed.

To apply the rule: Overtime does not apply until after 8 hours of Normal Time are done per day or 38 hours per week.
A Standard EBA profile with Over Time after 8 hours per day is required.
And then Also, an Additional EBA Profile, to calculate the total Normal Time for the week; if more than 38, then that excess of those 38Hrs become becomes Over Time hours.
ExampleFor example: if an employee worked 7 hours for 6 days, she does not get overtime with the Standard EBA Profile, but when the Additional EBA Profile runs, there are 42 Normal Time hours, and the excess (42-38= 4 hours) becomes overtime.

Assuming the employee only had a Default EBA profile (no Additional profile), after running the EBA Interpreter the Payroll transactions generated looked like below:

If the employee, would have had the Additional EBA Profile (called AdditionalWeek), the excess of 38 hours 'Normal Time' (2 excess 'Normal Time' hours), would be converted into 2 'Time and Half' hours.

In some cases, there could be multiple EBA profiles on a Timesheet (this can be achieved from Timesheets Administration, by an Admin user) plus weekly rules applied with an Additional EBA Profile.

Below is an example of an employee that has 3 different Daily EBA rules applied when EBA Interpreter is executed, plus some weekly rules to generate overtime:
- EBA Profile A: Standard EBA Profile assigned to the user, which will be applied to all the employee’s time transactions unless a different EBA profile is selected on the time transaction from the Timesheet Administration screen.

- EBA Profile B: Outside of spread of hours - EBA profile for weekly hours after 6 PM

-EBA Profile C: Night Shift - EBA profile for late night hours.

-Plus the Standard weekly Additional EBA profile.


When EBA Interpreter is executed:

  1. the time transactions with no EBA selected will use the default EBA profile on the user, EBA Profile A, and will generate 2 Overtime hours @ OT1.5, for Thursday 14th July.

  2. the time transactions with EBA Profile B will generate 3 Overtime hours @ OT1.5, for Monday, Tuesday and Wednesday.

  3. the time transactions with EBA Profile C will generate 2 Overtime hours @ OT2, for hours worked on Saturday.

  4. The Additional EBA profile indicates a maximum of 38hrs for Normal Time:
    The calculation used by Additional profiles:
    D= O - A - B - C
    O = 57 hours of the week - 38hrs max = 19 hours overtime
    A = 2 @ OT1.5
    B = 3 @ OT1.5
    C = 2 @ OT2
