New Features

Percentage Editing

The editing mode of the Percentage input has been enhanced for usability in both form and grid contexts across the entire application.

(blue star) View mode for percentages remains unchanged.
(blue star) Where previously input of a percentage was in decimal format, it is now specified in the more readable percentage format. Notice a percent sign is displayed in the new edit style.

Claim Based Get Sales

The Claim Based Get Sales for Job Invoices has been enhanced for usability.

...

A.    The hierarchy defined in the Claim Schedule is now also reflected by indentation in Claim Based Get Sales.
B.    The default view now displays only level 1 lines and header links allow for each level to be expanded as required.
C.    If practical all levels can be expanded or collapsed if required.
D.    The Value on header lines now show the aggregate for that level, and the %Done is a reflection of the level (progress) aggregate value to the respective (total) aggregate in the schedule.
E.     The Quantity on header lines also shows the aggregate for that level if the schedule line checkbox for ‘Sum Qty’ has been ticked to indicate that quantity aggregation is logical.

Enhanced AP Invoice Line Extraction & Validation

The data extraction validation has been enhanced for usability and now provides more flexible Lines configuration with specific validation rather than generic validation. Previously validation could have failed due to hidden line data being extracted, now validation is specific to the line data you have elected to use for the supplier.

A.    Recall the Lines Config popup specifies the columns to be visible for the line details for the company / supplier.
B.    The 3 key columns are now fully independently supported to allow any combination you may receive. Previously we expected the Tax value to be available when a Tax Inclusive value was provided.
C.    On saving you lines A ‘Training’ flag is now available to indicate that this supplier’s invoices should always be manually reviewed as it is in training mode. Hence the training mode will always be ‘Incomplete’ while this indicator is set.
D. On saving your config the document is reprocessed for validation checking and the selected columns will display.
DE.    The validation rules have been enhanced to be specific to the columns selected for display. Previously more generically applicable validation was used, and some scenarios were not well supported.
E.F. The ‘Ignore soft validation’ indicator will need to be ticked for the following cases:
1.  re. Initial Training Status– This has been instituted for the first 5 invoices from a new supplier to prevent new formats passing without user review. You will need to tick ‘Ignore soft validation’ to pass this check for the first five invoices. Thereafter only validation failures will require user review when no longer in training mode (Indexing).
E.2 2. re. Explicit Training – If training is explicitly enabled for the supplier using the ‘Training’ flag, refer (C), to retrain a supplier or because their invoice formats are irregular. You will need to tick ‘Ignore soft validation’ to pass the training flag check.
3.   re Irrelevant columns- If you should elect to display columns for which you do not have actual data you will trigger validation failures and will be required to override the checking using the ‘Ignore soft validation’ optionrespective field checking. Previously this would could have been required due to the generic validation rules.
FG.     Some technical field fields had to be introduced for these enhancements, but these will be disabled and can be ignored.
H. After completing your mappings, save as usual to process your image document.

Feature Revisions

General

  • Company Maintenance – The Insurance tab was enhanced to support uploading and reviewing subcontract insurances to improve support for the ‘Insurance New Subcontract Checking’ control parameter when set as to Disallow.

  • Workflow – The Sent Back status is now incorporated into the workflow feedback loop. Previously the Sent Back status only notified on the event email and if the respective ‘… Workflow Email Enabled’ Setting was inactive then this item could have been missed. Now the sent back item will relist in My Approvals List assigned to the submitter with the Action description ‘Sent Back For Edit’. Consequently, the item will also list in the daily reminder enabled by the ‘My Approval Required Email’ Setting.
     

  • Email Popup - Fixed a caching issue that could result in the recipient input control not being displayed.

Purchasing

  • Purchase Requisitions –

(blue star) The link to the PO created from a PR was not displaying correctly.
(blue star) A setting ‘PR Notification Profit Centres’ is introduced to list the profit centres applicable per user for which to receive notifications. This accommodates the use of Role contexts that is now deprecated.

  • AP Invoice – Rectified an issue navigating to the new AP Invoice popup from My Approvals List.

Contracts

  • Cashflow – Rectified a display issue where the grid header sometimes failed to display when switching between tabs.

Billing

  • Claim Based Get Sales – Rectified a display issue where the grid totals were incorrect.

  • Job Invoice –
    (blue star) The link to the invoice in the workflow-based approval email has been corrected. Previously it was simply displaying the Homepage.
    (blue star) The ‘To’ recipient was not being defaulted based on the selected Email Option, only the CC recipient was being defaulted. This is rectified.

Subcontracts

  • Work Order List –

(blue star) The ‘New Work Order’ button is now dependent on the ‘Edit Work Orders’ permission. It was previously linked to the ‘Edit Purchase Orders' permission. The WO workflow approval process now requires the 'Edit Work Orders' permission to submit, create, edit, cancel or uncancel Work Orders.
(blue star) The WO Type defaults based on the WO Type filter if used otherwise defaults the ‘Approved Variation’ if an ‘Original Contract’ WO already exists but saved any amendment to the type.

  • Subcontract, Claims tab – Rectified a display issue to cater for the scenario where a claim is completely reversed, and then claimed again.

  • Subcontract Claim –
    (blue star) The APInvoiceID is now displayed on the subcontract Claim title bar if required.
    (blue star) The %Done column on the Work Orders tab can now be hidden via Grid Management.

  • Subcontractor Portal - Contractor Daysheet External – The ‘New Line’ button is now disabled until a Contractor Schedule has been selected in the header, which in turn limits the relevant jobs selectable on the grid lines as that defined on the schedule. This effectively prevent the subcontractor from viewing any unrelated jobs.

Daily Diary

  • Timesheet –

(blue star) The Crew Timesheet is enhanced to be consistent with other Daily Diary screens and now includes the crew Job Filter in the header that limits the suggested jobs on grid lines. As elsewhere in Daily Diary, the grid Job Picker search popup using the Magnify will provide the complete job list.
(blue star) The ‘Copy Previous Transactions’ now also copies the respective Start and End times.

  • Time & Plant – The screen inadvertently allowed time to be recorded to Closed jobs. This has been rectified.

Reporting

  • Report Dashboard – Rectified an issue where paging in some circumstances reset the filters.

  • Report Maintenance – A validation is added to ensure that the URL is unique when saving since a duplicate URL can result in the ‘incorrect’ report being run.

Administration

  • User Maintenance –

(blue star) The Application Access tab is no longer dependent on ‘Has Login’ as this tab is required for Upvise license maintenance that is independent of the Workbench login.
(blue star) The Roles tab has been assimilated into the Applications Access tab with the contexts deprecated from the roles.

  • Settings – Rectified an issue where the html editor was not working after the component upgrade. This affected adding and editing of elements like footers text.

  • EBA Profile – A ‘Print’ button has been added to EBA Profile to print the standard ‘EBA Profile’ report.

 

Integration

General

  • Inter Company – The updated date now uses the current UTC instead of local time to ensure the inter-co process is consistent with Job Sales Invoices created by the web application.

MYOB Advanced

  • General – Address an issue that intermittently caused some import to stop processing.

  • Sales Orders - Rectified an issue where Job Transactions decimal places of Cost and FC Cost were truncated on the Sales Order sync.

  • AR Invoices – Enhanced the integration to display the message ‘AR/AP Invoice has already been exported' and update MYOB Advanced instead of creating a new MYOB Invoice if the ID already exists. This caters for the scenario where the Workbench invoice was synced then un-exported and re-batched.

Upvise

  • Contacts (Users) manually created and so existed prior to Upvise syncing with Workbench will no longer lose their existing groups when synced with Workbench.

  • Resolved an issue where single quotes in emails were not being handled via Upvise integration.

  • The ‘Upvise Integration’ screen is now available under the Finance role licence.
