Upvise Server Infrastructure Update

Upvise are releasing updates to their servers to enhance performance and security.

  1. URL CHANGE: As a first step in the server update, the URL to access Upvise on the web (PC) will change from https://www.upvise.com/uws to https://s3.upvise.com

    1. Web users will be automatically redirected to the new URL, however will be redirected to log in again.

    2. Where you have bookmarked the Upvise URL in your browser, please update this to https://s3.upvise.com

  2. MOBILE APP UPDATE: Mobile users will need to update their Upvise Mobile application available from 5th February to ensure Upvise is usable. Old application versions will no longer be usable after 1st May.

    1. Note: by default, the app update mechanism should update their apps in the background seamlessly.

  3. DLL Update (Integration): Workbench will be updating the UpviseClient DLL to v3.0 as part of this upgrade (Expected to be available in release v4.6.25).

  4. Public Form URLs and PowerBI export URLs will change, OLD URLs continue to work seamlessly during the transition period however clients should gradually migrate over to the new URL.

From 5th February

  • Web users using the legacy https://www.upvise.com/uws link will be redirected to the new URL and will have to log in again. You will see a message to advise: Please sign in with on https://s3.upvise.com

  • New Android and iOs Upvise app (v7.0) available with the new URL built-in available on AppStore and Google Play

From 19th February

  • Client DLL v3.0 is expected to be available in Workbench General Release v4.6.25

  • On-premise clients will be required to upgrade to this version before 1st May 2024.

From 1st May:

  • All users should have upgraded to the latest version of Upvise on mobile and UpviseClient DLL.

  • Public Form URL and PowerBI Link should already be migrated to the new URL.

New Features

Contracts - Project Trust Accounts

Here is a useful and quick reference of what is required from the Queensland Building and Construction Commission (QBCC) that is great to have handy.

Adding to the functionality released in January 2024we added a report that can be used to assist Accounts Payable teams in identifying which costs can be paid from a PTA.

Report Name: Project Trust Account Eligible Costs.
It can be found under Management Reports/Contract Reports.

The list of eligible activity codes can be set by opening the PTA Eligible Cost Activities link on the Trust Accounts screen. This will open an Activity group created by the system and used for the sole purpose of identifying activities that are valid for PTA Costs. This Activity Group PTACOSTS is not used for any other purpose:

Subcontracts

  • Deleting un-used Subcontract:

    We have added the option to delete a subcontract if it has not been used. There is a new red Delete button that only appears when the Subcontract has none of the following linked to it:

    • Works Orders,

    • Claims, Insurance,

    • Payments,

    • Datasheets,

    • Attachments,

    • Bonds

  • Contract - Potential Gains and Losses:
    The Copy Previous Period function was not copying multiple lines properly and this has been fixed.

Subcontracts

  • Removed beta control parameter BETA FEATURE - Subcontract RTA:
    This means that the Retention Trust Account field will be displayed on all Subcontracts. It is not mandatory.
    Subcontract Claim payment certificate reports Subcontractor Payment Certificate (wbSubcontractClaim003 ) & Subcontractor All in One Report(wbSubcontractClaim005) use the RTA.

  • Subcontract Retention Management - Retention Reportingtab:

    • Total on Retention Reporting tab:
      The Total now includes all filtered records, instead of being a total for the records on the page only (same as the Retention Releases tab)

    • Retention Balance:
      On the same Retention Reporting tab, the Retention Balance which is the same as the Retention Balance on the Retention Releases tab, was displaying an incorrect value on those records that had the statement reviewed and sent more than once. This has been rectified. Please note that it was only a display issue and that the retention balance statements are correct.

  • Retention Trust Accounts Balance Statement report:
    The Subcontract Retention Trust Accounts balance report (wbSubcontractTransactions004) used for sending statements to subcontractors periodically, has been modified only to include Approved/Certified claims.
    The reason why we made this change is because the report stated that the Retention amounts for approved and unapproved claims were being held in Trust, and that is not true. Retentions are only moved into a Trust Account once the claim is certified and paid.
    A note clarifying this is now displayed in the report:
    ”This report only includes Subcontracts with a Retention balance and only certified Claims.”

Retention Balance column may differ from the total Retentions held in Trust in the Retention Balance Statement report:
The Retention Balance column includes ALL subcontract claims, regardless of their status. However, the Retention Balance statement only includes retentions from claims that have been certified and transfered into the Trust Account.
To verify these figures you can use the Subcontract Claims screen and use filters accordingly (i.e. search for a specific subcontractor and use the claim status filters).


Quotes

  • Sell rate on Quotes:
    When there is a line with Activity + Employee Class + Time Code, the Sell rate used will be derived from the Price Code on the CostSheet, rather than from the Employee Class.

Month End

  • Subcontract Claim Accruals process:
    A small change has been made to the new Subcontract Claim Accrual process to only include unapproved claims.

Administration

  • What is included in each Licence?
    For Licence Administrators who want to understand what is included in each licence, we have improved the report that displays all the sitemap items included in a licence by adding the Site licence and/or Permission required for specific screens. Below is an example of the Job Costing licence report that can be printed from Purchased Licences inthe Licence Matrix:

    Another way to see what specific Licence, Site Licence, or Permission is required for a screen, is by using the Page Parameters icon,

New Equipment Option: Pre-Start (Daily Checklist)

  • A new setting has been introduced “Always show Prestart button on mobile”. When enabled, the Daily Checklist option will always show.

  • Admin users can apply the new setting in the Equipment Web app > Options > General

Update Naming convention to Category in Job Options

  • “Equipment Group” changed to “Category” in line with the standard naming convention within Job Options.

  • Jobs > Options >  Vehicle

Tasks Linked to Equipment

When a form is created from a task: if the task is linked to both equipment and a project, then newly created forms are linked to the equipment, instead of the project.

There is a new Option available in all columns to display controls for Jobs where you can select to display the Project the equipment is allocated to in your Job Grid/list view.

Job PO Lines

The “Subproject” field can now be hidden in the Job Po lines form Template (subform of Job Purchase order).

Previously this was enforced to always SHOW. Clients wanting to receive the enhancement on Job POs in Upvise should raise a support ticket.

Equipment Service Jobs - Workbench Plant Logs- meter reading imports

On completion of an Equipment Job in Upvise that syncs to Workbench, the system now automatically identifies and marks the most recent reading in Workbench as a service-related reading. This feature is aimed at simplifying the process of tracking and managing plant servicing and ensuring the data is accurately synced to workbench and visible on the plant maintenance log.

  • Log Type: The Equipment Job in Upvise must be categorised with the group as either 'Scheduled Service' or 'Unplanned Service.'

  • Reading Import: Timing: The system considers the most recent reading in Workbench that occurred before the completion date of the corresponding Equipment Job in Upvise.

Equipment QR codes

Upvise has introduced a new unique QR Code format.
Clients using the old QR code structure that stores the [plant code] as the identifier will still be supported using the mobile application.
The NEW format is defined via a new URL, using the below format:

  • https://s3.upvise.com?db=[databaseid]&ta=[table]&id=[recordid]

    • [databaseid] is a numeric value identifying the databaseid

    • [table] identifies the record table, “tools”

    • [id] is the Upvise record id

  • QR codes can be extracted directly in Upvise via individual equipment or in bulk via the equipment list. See below:
